Since 1956 Milani Plumbing Heating & Air Conditioning, Burnaby, Kingsway has been the market leader for plumbing, heating and air conditioning services in the Lower Mainland. With more than 65 years of ongoing success we continue to expand and excel in providing the best for our customers. With more than 120 service trucks on the road, we field a large volume of calls every day from people all over the Lower Mainland that need our help with their plumbing, drainage, heating and air conditioning service.

We are seeking a highly organized, proactive, and detail-oriented Executive / Administrative Assistant to provide administrative and executive support to senior leadership. The ideal candidate is a strong communicator with excellent time management skills, the ability to manage multiple priorities, and a commitment to maintaining confidentiality. We are seeking a full-time Executive/Administrative Assistant and we are looking to fill this position immediately.

Job Duties:

Provide comprehensive administrative support to executives and management.
Manage calendars, schedule meetings, appointments, and coordinate travel arrangements.
Prepare correspondence, reports, presentations, meeting agendas, and other business documents.
Screen phone calls, emails, and visitors, responding or redirecting inquiries as appropriate.
Organize and maintain electronic and physical filing systems.
Coordinate internal meetings, company events, and employee communications.
Assist with project coordination and track deadlines to ensure timely completion.
Handle confidential and sensitive information with professionalism and discretion.
Liaise with vendors, clients, and external stakeholders.
Maintain office supplies and coordinate equipment or facility-related needs.
Assist with preparing contracts, forms, and company documentation.
Perform data entry and maintain accurate company records.
Identify opportunities to improve administrative processes and office efficiency.
Distribute incoming and outgoing mail and correspondence.
Perform other administrative duties as assigned.

Requirements

High school diploma required; diploma or degree in Business Administration or a related field is preferred.
3-5+ years years of experience in an executive assistant, administrative assistant, or office administration role.
Strong organizational and multitasking skills with excellent attention to detail.
Ability to maintain confidentiality and exercise sound judgment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Excellent verbal and written communication skills.
Ability to prioritize tasks and work independently in a fast-paced environment.
Strong problem-solving and critical-thinking abilities.
