Transdev Canada is seeking an organized, proactive, and detail-oriented Operations Coordinator to join our team in Duncan, BC. This role will also include occasional travel to our site in Victoria. This is a Full-Time position | $62,400 per year.
Reporting directly to the General Manager, you will play a critical role in supporting daily operations, fleet maintenance administration, employee onboarding, financial processes, and regulatory compliance. As the central point of coordination between Operations, Maintenance, Finance, and frontline employees, you will help ensure our transit services run safely, efficiently, and effectively every day.
What You'll Be Doing
Operations Coordination
- Support day-to-day operational activities and provide administrative support to management.
- Coordinate meetings, training sessions, employee onboarding, and operational communications.
- Maintain accurate records, reports, and compliance documentation.
- Assist with recruitment activities, including job postings, interview scheduling, and candidate follow-up.
- Process invoices, track expenses, and support Accounts Payable and Accounts Receivable activities.
- Manage cash handling processes, including deposits, petty cash, and month-end reporting.
- Generate reports and analytics to support operational planning and business decisions
Maintenance Coordination
- Support fleet maintenance operations through work order processing and record management.
- Coordinate preventative maintenance schedules, repairs, inspections, and service activities.
- Maintain accurate fleet and maintenance records in accordance with company and regulatory requirements.
- Process purchase orders and maintenance-related invoices.
- Monitor inventory levels and coordinate the ordering of parts, tools, and supplies.
- Liaise with vendors and contractors to ensure timely service delivery and issue resolution.
- Produce maintenance reports to support fleet performance, reliability, and cost management.
Payroll, Benefits & Team Support
- Provide backup support for payroll and benefits administration as required.
- Support Operations Coordinators in other locations during periods of absence.
- Collaborate across departments to ensure a positive employee experience and smooth day-to-day operations.
What You'll Bring
We're looking for someone who combines strong administrative skills with operational coordination experience and enjoys working in a dynamic environment where no two days are the same.
Your profile
- Experience in operations coordination, fleet administration, maintenance coordination, transportation, facilities, or technical administration.
- Experience in transit, fleet, heavy equipment, or transportation environments is considered a strong asset.
- Experience working with maintenance management systems (CMMS/Hexagon or similar).
- Knowledge of preventative maintenance scheduling, inventory management, vendor coordination, and compliance documentation.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
- Proficiency with Microsoft Office and reporting systems.

- This is a full-time, on-site position based at our Duncan location.
- Occasional travel to our Victoria location may be required to provide support during employee absences.
