Job description:
The Administrative Coordinator will oversee client meetings for assistance requests, handle phone queries, and manage supply orders for the food bank and other needs. This role requires adherence to Christian Faith Outreach Centre (CFOC) & Doors Of Compassion (DOC) guidelines and Regional Food Bank standards, as well as the maintenance of camper, client and volunteer records with a focus on privacy and confidentiality. The coordinator may work autonomously, build effective relationships, meet supply ordering deadlines, and manage food tracking and data collection.
Note: This is a Canada Summer Jobs position. To be eligible, you must be 15-30 years old and a Permanent Resident or Citizen.
Key Responsibilities
- Register Camp Vision campers
- Coordinate and manage & maintain Camp Vision records with Camp Vision Manager & Director.
- Manage donation reception
- Interview and distribute emergency food to clients as needed
- Complete an online intake process with each client and update as needed
- Assist with loading and unloading food donations and the delivery of supplies
- Sort and pack food recovery donations
- Disseminate food recovery donations
- Maintain client documentation, both physical and digital
- Document daily statistical data and prepare reports as requested
- Handle daily communications and telephone calls
- Report and file statistics to the Food Bank and other donors as necessary
- Provide oral and written updates on food inventory and supply needs
- Ensure proper stock levels to prevent inventory depletion
- Proactively communicate needs
- Organize and maintain records of statistical reports and food orders
- Manage volunteer, community service, and work experience records, submitting them to partner agencies as necessary
- Undertake other duties as required; this job description is not exhaustive and may evolve with business needs
Qualifications & Experience
- College degree or equivalent experience
- Strong organizational and multitasking skills
- High-level professionalism and cultural competence for diverse interactions
- Excellent oral and written communication skills, including data entry, grammar, and proofreading
- Proficiency in Microsoft Office 365
- Willingness to learn in-house computer programs
- Ability to maintain detailed report summaries
