Hours of work: 37.5 hours per week (1.0 FTE), Monday to Friday.

Background
The Operations Manager provides day-to-day leadership, coordination, and direction to the Transportation Assistants and bus drivers. They are responsible for assigning coverage, coaching on operational standards, monitoring quality and documentation, and managing escalation pathways to ensure service continuity. This role provides functional leadership to the Transportation Department and Transportation Assistants, establishes daily operating cadence, manages real-time disruptions, and ensures clear stakeholder communication to support student safety, service continuity, and customer experience.
Duties include, but are not limited to:

Manage day-to-day route coverage, review absences, and assign spare drivers;

Manage dispatch, including real-time triage for delays, missed stops, breakdowns, and rescue bus coordination, road closures and detours, adverse weather impacts, and student events;

Manage Bus Driver Payroll entry (dispatches/absences/expense claims);

Acts as the primary escalation point for same-day operational decisions that exceed Transportation Assistant authority or require leadership judgment;

Provide leadership and coaching on workplace expectations/professionalism and growth to Bus Drivers/Transportation Assistants;

Assists with the development and implementation of department processes and procedures;

Manages the complaint investigation process and escalates to the Director (or designate) as appropriate;

Assigns daily work priorities to the Transportation Assistants;

Supervises the daily work of bus drivers, including adherence to assigned routes and schedule, compliance with established policy and procedure; escalates concerns to the Director as appropriate;

Participates in recruitment processes for Transportation Assistants and Bus Drivers, including interview participation and reference verification, in collaboration with the Director and Human Resources;

Coordinates the monthly/periodic completion and validation of contractor invoices, ensuring accuracy against approved route assignments, service days, and documented exceptions (missed service, cancellations, replacement vehicles);

Supervise the entry of vendor invoices for operational accuracy and ensure they are submitted within timelines to avoid service disruption;

Oversees the fee management system for the Department; ensures Transportation Assistants apply fee criteria correctly, and any refunds, adjustments, payment plans, or fee waivers are processed accurately;

Ensures Transportation Assistants consistently log, triage, track, and communicate operational equipment issues (GPS/telematics, cameras, and radios);

Assist with processing student transportation requests (new, changed, or terminated service), completing route updates, stop assignments, and route notes using established routing rules, templates, and standards; verifying eligibility, address accuracy, and required documentation;

Assist with maintaining data integrity in routing systems;

Assist with route redesign, optimization, boundary exceptions, and planning
- Liaise with school administration and provide training (Bus Planner Workflow, address entry into PowerSchool);

Support inclement weather assessments and collaborate with external partners to monitor road conditions for service continuity.
Requirements

Minimum 3-5 years of progressively responsible experience in transportation/logistics/dispatch or comparable service operations, with demonstrated day-to-day operational leadership and disruption management.

Proven ability to provide functional leadership to front-line staff.

Working competence with operational systems (dispatch/routing tools, GPS/radios, spreadsheets) and strong documentation discipline to support audit-ready records and basic operational reporting.

Student transportation experience is preferred.

Well-developed interpersonal, organizational, and communication skills.

Ability to provide effective coaching, training, and performance feedback.

Working knowledge of Microsoft Office and Google Suite products.

Valid Class 1 or 2 operator’s licence with S-Endorsement.
