Job Overview

We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions that keep our office running smoothly. Your energetic approach and organizational skills will ensure a positive experience for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your clerical and customer support expertise in a fast-paced environment.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally
Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other office software
Maintain organized filing systems, both digital and physical, to ensure quick retrieval of documents
Assist with appointment scheduling and calendar management to support office operations
Perform clerical duties such as proofreading, document preparation, and record keeping
Support bookkeeping activities using QuickBooks or similar accounting tools when needed
Provide excellent customer service by addressing inquiries and resolving issues with professionalism
Manage incoming and outgoing correspondence, including emails, faxes, and mail

Requirements

Proven experience in office administration or clerical roles, preferably in a medical or dental setting
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
Familiarity with multi-line phone systems and phone etiquette standards
Experience with QuickBooks or bookkeeping is a plus but not mandatory
Excellent organizational skills with the ability to prioritize tasks effectively
Attention to detail for proofreading documents and maintaining accurate records
Previous front desk or receptionist experience in a healthcare environment is highly desirable
Ability to perform typing quickly and accurately while maintaining focus on quality
Strong customer service skills with a friendly demeanor and professional communication style
