Position Overview:
The Accounting / Accounts Payable Clerk must be conscientious and able to work with limited supervision. Effects of errors at this level are significant as they could potentially negatively affect employees through payroll, cash flow through deposits and invoicing, guests through invoicing, and the financial statements through the daily sales journals and write-offs. It is imperative that the candidate be meticulous in their performance and that errors are corrected as soon as possible and that the candidate can recommend a course of action to ensure the same errors do not recur.
The duties described in this job description are at the entry level. The position will grow according to the ability, skill level, and motivation of the person in the position.
This position may be involved in other tasks within the accounting department as time allows. The Accounting Payroll Administrator will assign these tasks.
Key Responsibilities:
Daily:
- Maintains systematic, accurate, and timely processing of all Accounts Payable including, but not limited to, vendor invoicing, vendor payments and reconciliation to vendor statements.
- Maintain capital asset records including capturing capital items through accounts payable and computing monthly depreciation.
- Actively participate in month end processes. This will include, but is not limited to, preparing reconciliation as required for various accounts assigned from the Balance Sheet, making necessary adjusting entries to the GL and reviewing same for reasonableness. All month-end work is to be submitted to the CFO for review as soon as completed and in a timely manner.
- Candidate will also prepare a reconciliation of familiar accounts such as gratuities payable, vacation payable and gift certificates.
- All other duties as assigned.
Qualifications:
- Business/accounting courses at community college level or greater or equivalent experience is necessary. This post requires an in-depth understanding of accounting relationships and how they flow through to the Financial Statements. The ideal candidate will be able to think beyond the numbers and understand the relationship between them.
- Above average communication skills are required as constant communication with various departments is necessary to perform tasks effectively.
- This position is deadline driven and candidates must be able to handle pressure well, practice excellent time management and dedicate the time necessary to completing all tasks.
- Working knowledge of all or any of the following software packages; Microsoft Excel, Maestro, Silverware, Clover, Word Perfect, Word, QuickBooks would be an asset. Strong preference given to those with above average Excel skills.
Working Conditions:
- Must be able to work Monday to Friday, extended hours if required to meet deadlines. (very limited weekend work required save year end deadlines).
