A downtown, busy law firm seeking an experienced Real Estate /Corporate Legal Assistant. This is a full-time permanent position with competitive remuneration.
The Real Estate / Corporate Legal Assistant provides administrative and transactional support by managing files from intake to closing, maintaining deadlines, and supporting billing processes. The role includes independently handling residential transactions, preparing closing documents, conducting title and due diligence work, and coordinating all aspects of closings. This role also includes preparing and filing corporate documents, maintaining minute books, and supporting commercial transactions through document preparation, searches, and registrations to ensure accurate and timely completion of all matters. The position requires a qualified legal assistant with strong technical skills, attention to detail, and the ability to work efficiently in a fast-paced, deadline-driven environment.
KEY RESPONSIBILITIES:
- Provide day-to-day support to lawyers in residential and commercial real estate, as well as corporate matters.
- Provide administrative and client support, including responding to inquiries, managing files, tracking deadlines, and assisting with billing processes in a professional and timely manner.
- Independently manage residential real estate transactions from intake to closing, including document preparation and due diligence.
- Support commercial real estate transactions (purchases, sales, refinances) under lawyer supervision, including document coordination and closing logistics.
- Conduct title searches and coordinate all aspects of closings, including funding, registrations, and final reporting.
- Prepare and file corporate documents such as annual returns, resolutions, and corporate changes, while maintaining accurate minute books and records.
- Maintain corporate records and minute books
- Conduct due diligence searches and complete registrations and filings with relevant regulatory bodies (e.g., Land Titles, Personal Property, Tax Registries).
- Ensure all corporate and transactional matters are completed accurately, efficiently, and in compliance with legal and regulatory requirements.
- Maintain and organize physical and electronic files, including document management systems (e.g., NetDocuments)
QUALIFICATIONS
- 5+ years of practical experience in Real Estate and Corporate Law.
- Residential real estate experience is required; commercial real estate is considered an asset.
- Completion of a recognized legal support program (Legal Assistant, Law Clerk, Paralegal) preferred.
- CORES Level 1 certification required; CORES Level 2 or 3 considered an asset.
- Proficiency in using Unity Accounting for case management and billing activities.
- Experience with file management systems, preferably NetDocuments, to effectively organize and retrieve documents.
- Competence in utilizing Adobe for the creation and editing of legal documents.
- Strong attention to detail, exceptional organizational skills, and the ability to manage multiple tasks efficiently.
- Excellent verbal and written communication skills, enabling effective interaction with clients, colleagues, and opposing counsel.
- Demonstrated ability to work both independently and collaboratively within a team-oriented environment.
