Job Overview

As the Executive Assistant to the CEO, you will provide a high-level of administrative, operational and strategic support to the CEO of BDL. This role is responsible for managing the CEO’s schedule, coordinating communications, supporting decision-making, and ensuring smooth operations of executive office functions. At BDL we expect the EA to act as a trusted partner to the CEO, liaising with internal teams, clients, contractors, consultants and external stakeholders while maintaining the highest level of professionalism, confidentiality and discretion.

Roles & Responsibilities

Executive Support

Manage the CEO’s calendar, ensuring it is kept up to date, with appointments, meetings, and priorities to help optimize their time.
Plan travel arrangements, including accommodations and logistics for business trips.
Anticipate scheduling conflicts and proactively manage competing demands, provide daily briefings of changes and upcoming appointments.
Prepare agendas, presentations, briefing materials, reports, and correspondence for meetings and events.
Screen and prioritize emails, phone calls, and other communications.
Draft professional communications on behalf of the CEO, when required.
Track action items and follow up with stakeholders to ensure timely completion.

Meeting & Project Coordination

Coordinate executive and leadership team meetings, including scheduling, logistics, and documentation.
Prepare meeting minutes, disseminate and maintain records of decisions and commitments.
Monitor progress on strategic initiatives and construction projects as directed by the CEO.
Support project reporting by gathering and organizing information from department leaders.
Assist with the planning and execution of board meetings and investor presentations when required.

Stakeholder Management

Serve as a primary point of contact between the CEO and internal/external stakeholders.
Build and maintain positive relationships with employees, clients, vendors, consultants, government agencies, and industry partners.

Administrative Operations

Manage confidential and sensitive information with discretion.
Organize and maintain executive files, contracts, reports, and company records.
Process expense reports and monitor executive office budgets as required.
Coordinate and plan company events and leadership meetings.

Business Support

Assist the CEO with business development initiatives, research, proposals, and client relationship activities.
Identify opportunities to improve efficiency and effectiveness within executive operations.

Please note that this job description is not exhaustive, and additional duties may be assigned based on the needs of the project.

Pay: $70,000.00-$90,000.00 per year
