Bookkeeper / Administrative Assistant for a Construction Company.

Location: Waterdown, Ontario
Job Type: Part-Time
Salary: $25-$35/hr, based on experience

About the Role

We are seeking a detail-oriented and organized Bookkeeper / Administrative Assistant to join our team. The successful candidate will be responsible for maintaining accurate financial records, supporting day-to-day office operations, and ensuring efficient administrative processes. Experience with Sage 50 Accounting software is required.

Key Responsibilities/Bookkeeping Duties

Maintain accurate financial records and general ledgers using Sage 50.
Process accounts payable and accounts receivable.
Prepare and issue invoices, statements, and payment reminders.
Reconcile bank accounts, credit card statements, and other financial records.
Process payroll and maintain employee payroll records.
Prepare and submit government remittances, including GST/HST, payroll deductions, and other required filings.
Assist with month-end and year-end closing procedures.
Prepare financial reports and supporting documentation for management and external accountants.
Monitor cash flow and maintain organized financial records.

Administrative Duties

Answer and direct phone calls, emails, and general inquiries.
Manage filing systems, both electronic and paper-based.
Schedule appointments, meetings, and coordinate calendars.
Maintain office supplies inventory and place orders as required.
Prepare correspondence, reports, and other business documents.
Assist with data entry and database management.
Support management with various administrative projects and tasks.
Ensure confidentiality of company and employee information.

Qualifications

Minimum 2 years of bookkeeping and administrative experience.
Proficiency with Sage 50 Accounting software.
Strong knowledge of bookkeeping principles and accounting procedures.
Experience with payroll processing and government remittances.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Excellent verbal and written communication skills.
Ability to work independently and manage multiple priorities.

Preferred Qualifications

Post-secondary education in Accounting, Bookkeeping, Business Administration, or a related field.
Knowledge of Canadian payroll, GST/HST, and employment standards.
Experience working in a small business environment.
