The Ministry of Assisted Living and Social Services (ALSS) helps ensure Albertans have access to the supports and services they need to live and age well in their homes and communities. The ministry supports vulnerable Albertans, including seniors, people with disabilities, low-income individuals, and those facing homelessness, through disability services, homelessness supports, financial assistance, employment services, seniors supports, and other social-based programs. The Employment and Financial Services Division within the Ministry of Assisted Living and Social Services plays a vital role in supporting the well-being and independence of Albertans. The division is responsible for delivering a broad range of employment programs, income support services, and financial assistance initiatives that help individuals and families achieve greater stability, self-sufficiency, and inclusion in the workforce. Through a client-centered approach and strong community partnerships, the division ensures access to timely, equitable, and effective services that address the diverse needs of Albertans experiencing economic or social challenges.
Reporting to the Business Coordinators of Employment and Financial Services (EFS), this position plays a key role in overseeing Administrative Support processes and procedures, providing input, and contributing to operational decisions. The incumbent assists the Business Coordinators with the recruitment, interviewing, hiring, and training of Administrative Support staff within Assisted Living and Social Services.
This position works closely with Business Coordinators, Program Supervisors, and Managers on a daily basis to address issues and concerns requiring attention. The role involves performing a variety of complex administrative duties and requires extensive knowledge of multiple programs and services. The incumbent supports Albertans in navigating Alberta Supports Income Support (IS) and Disability Income Assistance programs and services, including the Alberta Supports Contact Centre (ASCC), Child Support Services (CSS), and local community resources.
As a senior member of the administrative team, the incumbent is regularly called upon to interpret and respond to issues requiring immediate attention. The position provides support to the management team and contributes to Employment and Financial Services (EFS) programs and projects. Responsibilities include supporting staff and implementing and monitoring systems that promote efficiency, effectiveness, and quality in the delivery of administrative and financial services.
The Administrative Supervisor leads a team of Administrative Assistants, ensuring the delivery of efficient, high-quality administrative support services.
Key responsibilities include:
- Supervising, coaching, and developing staff through performance management, training, and continuous feedback.
- Managing day-to-day operations, including workload allocation, attendance and leave approval, scheduling, and service coverage.
- Supporting employee onboarding, orientation, cross-training, and professional development initiatives.
- Monitoring team performance, productivity, and service standards to ensure operational objectives are met.
- Providing guidance on administrative, personnel, and financial policies and procedures.
- Addressing employee inquiries and escalating complex staffing or operational issues as appropriate.
- Supporting recruitment activities, including requisitions, candidate screening, interviews, and hiring coordination.
- Collaborating with Business Coordinators and program staff to promote effective communication, resource planning, and service delivery.
- Reviewing and approving Online Time Entry submissions in 1GX and supporting employee lifecycle activities, including onboarding, transfers, and offboarding.

Minimum Recruitment Standard:
High school diploma and four years of related experience.
Equivalency:
Directly related experience or education considered on the basis of:
- One year of experience for one year of education or
- One year of education for one year of experience.
A valid driver's licence is required, as regular travel to supervised sites is an expectation of this position.
Assets
- Two or more years of experience in a supervisory role.
- Demonstrated leadership, team-building, problem-solving, and communication skills.
- Previous supervisory experience in a related field.
- Experience leading through change and/or formal training in change management.
- Proficiency in the use of Microsoft Office and Microsoft 365 applications.
- Extensive knowledge of budgeting, financial planning, financial monitoring, and Expenditure Officer Authority processes, including the management of worksite and client-related expenses.
- In-depth working knowledge of ministry information, Protection of Privacy Act (POPA) and financial payment systems, including, but not limited to, BERNIE, 1GX, Concur, and Electronic Payment System (EPS).
