About the Role
Behind every successful event is a well-run operation, and ours starts in the warehouse.
Our warehouse is the hub of the business, housing an extensive inventory of event furnishings, décor, tents, audiovisual equipment, specialty linens, and production materials. It also supports our fabrication, floral, laundry, and logistics operations.
The Warehouse Supervisor works alongside the Warehouse Manager to execute high-efficiency warehouse operations while maintaining the Mountainscape Standard of flawless product quality. As the daily pulse of the warehouse, you are responsible for training and developing the team, driving operational precision, and ensuring every order leaving the warehouse is a perfect representation of our brand.
This role leads the day-to-day warehouse operations, ensuring inventory accuracy, equipment readiness, efficient workflows, and high team performance to support exceptional event execution. This is a hands-on leadership role that combines team supervision, operational planning, inventory management, quality control, process improvement, and problem-solving.

Key Responsibilities
Operations Support Crew Management
- Provide day-to-day leadership, coaching, training, and support to Event Support Crew members.
- Schedule and coordinate warehouse resources to ensure operational efficiency and successful event execution.
- Collaborate with teams at both Banff and Deadman's Flats locations to ensure seamless communication, inventory movement, and workflow coordination.
- Conduct regular one-on-one meetings, performance reviews, and ongoing coaching conversations.
- Ensure team members consistently follow established processes, safety procedures, and quality standards.
- Foster a positive, accountable, and solution-oriented team culture.
Inventory & Order Precision
- Review rental orders and event documentation to develop clear preparation plans for warehouse and operations teams.
- Oversee the complete lifecycle of rental inventory, including order picking, staging, packing, shipping, receiving, cleaning, maintenance, and storage.
- Ensure that all inventory movements, job notes, damages, shortages, and discrepancies are accurately documented in company systems.
- Monitor inventory levels and identify shortages, damaged products, or replenishment requirements.
- Investigate inventory discrepancies and implement corrective actions to improve accuracy and efficiency.
- Ensure all orders are completed accurately, on time, and in accordance with company quality standards.
Quality Control & Facility Stewardship
- Maintain Mountainscape quality standards by ensuring all products are clean, functional, organized, and event ready.
- Perform or coordinate routine inspections and preventative maintenance for warehouse equipment and facilities.
- Ensure warehouse equipment, including forklifts and material handling equipment, is operated safely and maintained appropriately.
- Promote a clean, organized, and safe warehouse environment at all times.
- Continuously evaluate and improve processes to reduce product loss, damage, and inventory discrepancies.
Communication & Interdepartmental Synergy
- Serve as the warehouse subject matter expert by providing inventory and operational support to Sales, Event Operations, and other departments.
- Communicate inventory constraints, operational risks, and capacity considerations proactively.
- Support change management initiatives and ensure operational priorities are clearly communicated and executed.
- Build positive working relationships across departments to ensure seamless event execution and exceptional customer service.

What You Bring
- Minimum 2 years of leadership experience supervising warehouse or operations teams.
- Minimum 2 years of experience managing inventory, shipping and receiving, and warehouse processes.
- Experience using warehouse management systems, inventory software, and digital documentation tools.
- Experience in event rentals, logistics, hospitality, distribution, or a related industry is considered an asset.
- Demonstrated ability to lead, coach, and develop employees in a fast-paced environment.
- Strong organizational, planning, and problem-solving skills.
- Exceptional attention to detail with a commitment to accuracy and quality.
- Experience operating forklifts and other warehouse equipment; forklift certification is an asset.
- Strong computer proficiency, including Microsoft Office and inventory management software.
- Ability to adapt quickly to changing priorities and operational demands.
- Valid Class 5 Driver's License with a clean driving record.
- Strong understanding of workplace health and safety practices.
Physical Requirements
This role involves regular physical activity in a warehouse environment and requires the ability to safely handle event inventory and equipment.
- Ability to regularly lift, carry, push, pull, and move inventory and equipment weighing up to 50 lbs (23 kg), with heavier team lifts as required.
- Ability to stand, walk, bend, climb, and perform physical tasks for extended periods throughout the workday.
- Comfortable working on ladders, elevated platforms, and at heights when required.
- Ability to safely load, unload, and transport inventory and equipment.
- Ability to operate company vehicles, including cars and trucks; experience operating forklifts or other material-handling equipment is an asset.
- Strong attention to detail and visual acuity to identify inventory items, colours, product specifications, and quality concerns (corrective lenses are acceptable).
- Manual dexterity and coordination required for handling fragile items, operating tools and equipment, and performing detailed inventory-related tasks.
- Ability to work safely and efficiently in a fast-paced warehouse environment.
Your Work Schedule
Events do not follow a 9-to-5 schedule. This position requires flexibility to support event operations. Regular schedules may include weekdays, evenings, weekends, early mornings, and occasional late nights based on business demands and event schedules.
