Role Overview
Arcade Shark is looking for a part-time Booking & Business Development Coordinator to help manage customer inquiries, follow up with leads, support confirmed bookings, and help grow new party and event opportunities.
This role is designed for approximately 4–5 hours per week. The focus is on helping Arcade Shark book more parties and events while keeping customer communication, scheduling notes, and payment follow-ups organized.
The ideal candidate is friendly, responsive, organized, and comfortable reaching out to customers, local businesses, clubs, schools, camps, event organizers, and community partners.
Key Responsibilities
Booking & Customer Follow-Up
- Respond to new booking inquiries by email, phone, text, social media, or website form
- Answer basic questions about packages, pricing, availability, travel fees, and event timing
- Follow up with open leads and help turn inquiries into confirmed bookings
- Confirm key booking details such as date, time, location, package, and customer contact information
- Send booking confirmations, reminders, and follow-up messages
- Keep customer notes and lead status updated
Business Development & Outreach
- Help identify new opportunities for Arcade Shark to book birthday parties, school events, camp events, team parties, corporate events, community activations, festivals, and fundraisers
- Reach out to potential customers, schools, camps, sports teams, businesses, clubs, and event organizers
- Continue developing existing relationships with partners such as Osler, Collingwood Ski Club, Side Launch, and other local organizations
- Follow up with existing partners about repeat bookings, seasonal activations, and future event opportunities
- Follow up with past customers to encourage repeat bookings and referrals
- Track outreach activity, open opportunities, and follow-up dates
Scheduling & Team Communication
- Update bookings in Wix or the booking calendar as needed
- Share event details with the Arcade Shark team
- Flag scheduling conflicts, staffing needs, or special requests to ownership
- Help ensure upcoming bookings have the necessary information before the event
Payment Follow-Up
- Follow up with customers for deposits or outstanding balances when needed
- Confirm whether payment has been received before an event
- Flag unpaid or unclear payment situations to ownership
Occasional Live Event Support
For select live events, this role may include occasional in-person support where Arcade Shark is offering paid activities, drop-in gameplay, or short-format experiences.
This may include helping greet customers, explain the experience, track payments or sign-ups, and capture leads for future bookings.
On-site event support would be occasional and paid at the regular hourly rate unless otherwise agreed in advance.
Ideal Candidate
The ideal candidate is:
- Friendly, organized, and reliable
- Comfortable communicating with customers and local partners
- Comfortable making calls, sending emails, texting customers, and following up with leads
- Sales-minded and comfortable doing outreach
- Able to follow up without being pushy
- Comfortable with booking software, email, and simple tracking sheets
- Able to work independently within a small number of weekly hours
- Interested in helping a local entertainment business grow
Compensation
- $20/hour base pay
- Approximately 4–7 hours per week
- 5% commission on confirmed bookings, including parties and events
- Commission is paid once the booking is confirmed and the required deposit has been received
- On-site event support is paid at the regular hourly rate unless otherwise agreed in advance
Weekly Focus
Each week, the coordinator will focus on:
- Responding to new inquiries
- Following up with open leads
- Reaching out to potential event partners
- Developing existing local relationships
- Confirming basic details for upcoming bookings
- Following up on payments where needed
- Providing a short update on leads, bookings, outreach, and upcoming opportunities.
Pay: $20.00 per hour
