Shift Physiotherapy is a growing, patient-focused clinic located within a busy medical office in Scarborough, ON. We deliver evidence-based, hands-on manual therapy focused physiotherapy care to help patients recover and move better.
We are a new and expanding clinic. We are looking for a part-time clinic receptionist/administrative assistant who is eager to be part of our growth journey, learn about clinic operations, and develop within the healthcare industry.
Position Summary
We are seeking a friendly, organized and professional Clinic Administrator / Assistant to manage front-desk operations and support daily clinic activities. You’ll be the first point of contact for patients, responsible for scheduling, billing, communication, and ensuring a smooth patient experience.
Key Responsibilities
- Greet patients and visitors with a warm and professional demeanour.
- Able to assist in running group exercise classes for seniors
- Answer phone calls, return messages, and confirm appointments.
- Schedule, reschedule and manage appointments using clinic software.
- Process new patient intake forms and maintain accurate records.
- Handle billing and payments, including direct insurance billing.
- Send reminders and communicate with patients about upcoming appointments.
- Maintain a tidy reception area and ensure a positive clinic atmosphere.
- Liaise with the physiotherapist and medical office staff for smooth coordination.
- Assist with basic marketing and administrative projects as the clinic grows
Qualifications & Skills
- 1+ years of experience in a clinic, medical office, or customer service setting preferred.
- Excellent communication and interpersonal skills.
- Organized, detail-oriented, and comfortable multi-tasking in a busy environment.
- Proficient with computers (MS Office, Google Workspace, scheduling software).
- Dependable, professional, and positive attitude.
- Able to work independently and take initiative.
Bonus Assets
- Experience in a physiotherapy, rehab, or medical clinic.
- Familiarity with billing platforms like Telus eClaims or ProviderConnect.
- Familiarity with scheduling app (JANE) is also an asset.
- Interest in physiotherapy or rehabilitation fields (ideal for students or future health professionals).
- Bilingual skills (English + Tamil) preferred, but not required.
