We are seeking an organized, customer-focused Project Coordinator to join our growing team.
This position is ideal for someone who enjoys working in a fast-paced environment, coordinating multiple stakeholders, and ensuring projects move smoothly from start to finish.
Position Summary
The Project Manager Assistant plays a critical role in supporting restoration projects by coordinating communication between customers, insurance adjusters, project managers, subcontractors, and internal staff. This position is responsible for maintaining project documentation, scheduling resources, monitoring job progress, and assisting with project administration from intake through final invoicing.
Previous restoration experience is not required. We welcome applicants with strong administrative, customer service, project coordination, insurance, construction, property management, or related experience.
Key Responsibilities
- Serve as a primary point of contact for customers, insurance adjusters, subcontractors, and internal team members throughout the project lifecycle.
- Maintain regular communication and provide project updates to all stakeholders.
- Ensure compliance with client service agreements, company standards, timelines, and key performance indicators (KPIs).
- Maintain accurate electronic job files, including notes, photographs, estimates, reports, and project documentation.
- Update and maintain compliance and regulatory documentation.
- Obtain and compare subcontractor quotations.
- Assist with estimate revisions and administrative updates within estimating platforms.
- Schedule and coordinate subcontractors and internal staff to ensure efficient project execution.
- Monitor project budgets and job costs.
- Prepare private work contracts and coordinate collection of deposits and progress payments.
- Process project invoicing and complete file closeout procedures.
- Assist with collection of outstanding accounts receivable when required.
- Provide reception and administrative support coverage as needed.
- Assist with onboarding and training of team members.
- Perform other administrative and project support duties as assigned.
Qualifications
- Minimum 2 years of experience in customer service, project coordination, administration, insurance, construction, property management, or a related environment.
- Strong computer proficiency, including Microsoft Outlook, Word, Excel, and web-based software applications.
- Excellent data entry and administrative skills with strong attention to detail.
- Experience working with multiple priorities and deadlines in a fast-paced environment.
- Knowledge of insurance claims processes, construction, restoration, or property management is considered an asset.
