JOB OVERVIEW

Powerline Plus Ltd., is seeking a highly organized and detail-oriented Administrative Assistant for Environmental Health and Safety Dept. to support our Environmental Health & Safety (EHS) team. This role is responsible for maintaining safety documentation, tracking training and certifications, and ensuring accurate safety records across multiple systems. The ideal candidate is dependable, proactive, and able to manage multiple administrative priorities in a fast-paced environment.

Skills & Qualifications

The successful candidate will have:

Completion of a 1–2 year program in Administrative Assistant, Business Administration, Office Administration, Occupational Health & Safety, or a related field
Minimum two (2) years of administrative experience, preferably supporting a Health & Safety, Compliance, or Operations team
Working knowledge of workplace health and safety documentation and record-keeping, including training records, permits, and safety forms
Familiarity with Ontario health and safety legislation (OHSA) or construction safety practices is considered an asset
Advanced proficiency in Microsoft Office, particularly Excel, Word, and Outlook
Strong organizational skills with exceptional attention to detail and accuracy, especially when maintaining compliance-related records
Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment
Strong communication skills and ability to work collaboratively with EHS staff, field personnel, and Human Resources

Key Responsibilities

Maintain and update employee training records and certifications in multiple electronic databases and physical employee files
Track and monitor all Powerline safety documentation to ensure completeness and compliance, including but not limited to:
Tailboards
Traffic Plans
Authorizations for Mechanical Excavation
Circle Checks
EHS Field Inspector Tracking Reports
Confined Space Entry Permits
Tunnel Entry Permits
Facilitate training
Facilitae new hire orientation
Generate reports and identify discrepancies within safety documentation systems
Issue and track Personal Protective Equipment (PPE), including FR and Non-FR clothing, following new worker orientation sessions, ensuring all items are returned upon cessation of employment
Issue and track employee parking passes in coordination with Human Resources, ensuring passes are returned upon employee departure
Support the EHS team with general administrative tasks and documentation management
