POSITION SUMMARY
The Personal & Executive Assistant provides high-level administrative, organizational, and personal support to the CEO to ensure efficient day-to-day operations. This role acts as a trusted partner, managing priorities, coordinating internal and external communications, and maintaining strict confidentiality across all matters.
KEY RESPONSIBILITIES
Executive Support
- Manage and optimize the CEO’s calendar, including meetings, appointments, and follow-ups
- Coordinate internal and external meetings, including preparation of agendas, materials, and minutes
- Screen, prioritize, and manage incoming communications on behalf of the CEO
- Act as a liaison between the CEO and senior leadership, employees, and external stakeholders
- Maintain a “bring-forward” system to track deadlines, commitments, and follow-up actions
Administrative & Operational Support
- Prepare presentations, reports, correspondence, and briefing documents
- Maintain organized filing systems (digital and physical) for confidential documents
- Track contracts, agreements, renewals, and key corporate documentation
- Prepare and reconcile expense reports
Travel & Logistics Coordination
- Arrange travel logistics including flights, accommodations, transportation, and itineraries
- Coordinate schedules for trade shows, business and personal trips, and corporate events
- Support visitor coordination including meeting setup, hospitality, and logistics
Personal Support
- Handle personal errands and administrative tasks as required (e.g., reservations, banking, scheduling)
- Coordinate personal appointments and family-related scheduling where required
- Manage personal correspondence and communications with discretion
Project & Event Management
- Support planning and execution of internal events (e.g., company meetings, offsites, holiday events)
- Assist with special projects, including cross-functional initiatives and executive-level priorities
- Track project timelines and ensure deliverables are met
Office & Executive Environment Management
- Maintain the CEO’s office environment to a high standard of organization and professionalism
- Coordinate office needs, supplies, and workspace logistics
- Support presentation and readiness for executive meetings
QUALIFICATIONS ANDN EXPERIENCE
- 5+ years of experience supporting senior executives or C-level leaders
- Post-secondary education in business administration or related field (preferred)
- Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
