To support our executive leadership team and ensure seamless operations across our locations, we are seeking a highly organized, professional, and hospitality-minded Executive Assistant & Front Desk Lead.

Job Overview In this dual-focus role, you will be instrumental in supporting the executive team while actively running the clinic’s front desk operations to deliver an exceptional patient experience. Key Responsibilities
1. Front Desk & Client Relations Management:
- Greet patients warmly upon arrival, offer beverages, and maintain a welcoming, professional, and premium environment in the waiting area.
- Serve as the primary point of contact for administrative communications via phone, text, and email, ensuring accurate and efficient appointment handling.
- Manage the check-in and check-out procedures, assist patients with intake forms, and communicate effectively with clinical staff to ensure smooth patient flow.
- Process patient payments, handle point-of-sale transactions, and maintain absolute cleanliness and organization of the front desk reception area.
2. Appointment & Schedule Optimization:
- Schedule, confirm, and follow up on patient appointments for premium services, including hormone evaluations, erectile dysfunction consultations, lab work, and other longevity treatments using the clinic's EMR system.
3. Executive & Administrative Support:
- Provide high-level administrative assistance to clinic leadership, including general office tasks, patient record management, digital data entry, and executive calendar tracking.
- Maintain accurate and highly confidential electronic medical records (EMR) in strict compliance with healthcare privacy regulations.
4. Sales & Marketing Support:
- Engage with current and past patients to inform them of new clinic offers, promotions, and memberships to drive clinic growth and retention.
- Assist with light marketing, social media platform engagement, and public relations as directed by leadership.
Skills & Qualifications:
- Exceptional Communication Skills: Strong spoken and written English communication abilities with a professional, upbeat, empathetic, and polished tone in person, over the phone, and via text/email.
- Customer Service Excellence: Commitment to creating a welcoming and respectful environment with a hospitality mindset, paired with the ability to manage highly sensitive health conversations with total discretion and compassion.
- Organizational Mastery: Highly organized, detail-oriented, and uniquely capable of managing multiple executive schedules, front desk tasks, and administrative priorities simultaneously.
- Sales and Relationship Management Mindset: Enthusiastic about sharing services and promotions to help foster long-term patient loyalty and brand growth.
- Technical Literacy: Comfortable using computers, learning medical scheduling software/EMR systems, and managing basic office tech.
- Core Assets: Previous experience in a medical clinic, medical spa, or high-end customer-facing role is highly preferred. A strong personal interest in health, wellness, or fitness aligns perfectly with the clinic's mission.
Compensation & Premier Benefits:
- Base Salary: $22.00-$30.00 per hour (commensurate with administrative and clinic experience).
- Additional Compensation: Eligible for performance-based bonus and commission programs as you achieve Key Performance Indicators (KPIs).
- Work-Life Balance: Please note: This role requires flexible daytime scheduling, including mandatory Saturday day shifts to accommodate our professional client base.
