Full job description

Position Summary

The Human Resources Assistant provides administrative and operational support to the Human Resources Manager. This role assists with recruitment, onboarding, employee records, benefits administration, compliance, training coordination, and day-to-day HR functions. The ideal candidate is highly organized, maintains confidentiality, has excellent communication skills, and thrives in a fast-paced environment.

Key Responsibilities

Recruitment & Onboarding

Assist with recruiting activities including posting job advertisements and screening resumes.
Schedule interviews and communicate with candidates throughout the hiring process.
Conduct reference checks and background checks.
Prepare offer letters and employment documentation.
Coordinate new hire onboarding and orientation.
Ensure all required employment documents are completed and filed.

Employee Records & Administration

Maintain accurate and confidential employee files.
Update employee information in the HRIS.
Process new hires, terminations, promotions, transfers, and employee status changes.
Assist with maintaining HR databases and personnel records.
Prepare employment verification letters and other HR documentation.

Benefits & Payroll Support

Assist employees with benefit enrollment and changes.
Maintain benefit records and communicate with benefit providers.
Support payroll by ensuring employee information is accurate and submitted on time.
Assist with payroll-related inquiries.

Training & Compliance

Coordinate employee training sessions and maintain training records.
Track mandatory certifications and compliance training.
Assist with workplace health and safety documentation.
Ensure HR policies and procedures are followed.
Support compliance with employment legislation and company policies.

Employee Relations

Respond to employee inquiries regarding HR policies, benefits, and procedures.
Provide administrative support during employee investigations and disciplinary processes.
Maintain strict confidentiality regarding employee information.
Help foster a positive workplace culture through employee engagement initiatives.

General Administrative Duties

Prepare HR reports and maintain spreadsheets.
Order office and HR supplies as required.
Assist with organizing company events and employee recognition programs.
Answer HR-related phone calls and emails.
Support other departments with HR-related administrative requests.
Perform filing, scanning, and document management.
Perform any other duties as assigned.

Qualifications

Diploma or degree in Human Resources
1–2 years of administrative or HR experience preferred.
Experience with HRIS systems is an asset.
Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
Knowledge of employment standards and human resources best practices.

Full-time, in-office position.
Standard business hours with occasional overtime as required.
Fast-paced office environment requiring frequent interaction with employees and management.

Physical Requirements

Prolonged periods of sitting and computer work.
Occasional lifting of office supplies or files up to 60 lbs.
Ability to move throughout the office as required.

Pay: $45,000.00-$55,000.00 per year
