Compensation & Benefits

Salary: $50,000 – $60,000
Comprehensive health & dental benefits
Paid vacation and personal days
Ability to work from either the Downtown Toronto or Etobicoke office

Key Responsibilities

Manage electronic and physical client files throughout the file lifecycle
Open, organize, maintain, close, and archive files in accordance with firm procedures
Support client onboarding, including conflict checks and KYC requirements
Prepare engagement letters and related documentation
Coordinate document management activities using iManage and related systems
Assist with billing and pre-billing processes
Maintain accurate client and contact information within internal systems
Retrieve and coordinate files from off-site storage as required
Provide administrative support to Lawyers, Law Clerks, and Legal Support staff while managing competing priorities and deadlines

Qualifications

Legal Administrative Assistant certificate or diploma
1–3 years of experience in a law firm or professional services environment
Strong proficiency in Microsoft Word, Outlook, and basic Excel
Experience with iManage or a similar document management system preferred
Familiarity with billing, conflict checks, or KYC processes is an asset
Excellent organizational, communication, and time management skills
Strong attention to detail and commitment to accuracy
Professional, reliable, and client-service-oriented approach
Ability to work independently and collaboratively in a fast-paced environment
