Medical Office Assistant (MOA) / Clinical Administrative Assistant (Part-Time)
North York Family Medicine Clinic
Our small and well-established family medicine clinic is seeking a part-time Medical Office Assistant (MOA) / Clinical Administrative Assistant to join our team.
This position is ideal for an experienced MOA, but we also welcome applications from highly organized and motivated candidates with a health sciences or science-related educational background who are interested in healthcare and eager to learn. Training will be provided for the right candidate.
Our clinic consists of two Family Physicians, a part-time nurse, and an experienced Office Manager/MOA who work closely together to provide high-quality, patient-centred care. We have used electronic medical records for over 15 years and currently use Accuro EMR. Our physicians are members of a Family Health Organization and the North York Family Health Team (NYFHT), allowing us to provide comprehensive, team-based care to our patients.
This is a key role within our clinic and offers a unique opportunity to gain experience in both the administrative and clinical aspects of family medicine. The successful candidate will work directly with patients, physicians, nurses, and allied health professionals while developing valuable healthcare knowledge and skills.
Schedule
- Approximately 2 days per week (8:30 AM – 5:00 PM), Monday and Wednesday preferred
- Some flexibility in scheduling is an asset (e.g., for vacation coverage)
- Occasional evening shifts may be required (approximately 1–2 times per month until 8:00 PM)

Roles and Responsibilities
Front Desk and Administrative Duties
- Schedule and reschedule patient appointments according to provider guidelines.
- Manage schedule changes related to physician vacations, illness, meetings, and urgent care needs.
- Check patients in and ensure demographic and health card information is up to date.
- Collect payments for uninsured services and track outstanding balances.
- Support physicians and allied health professionals with messages, prescriptions, forms, referrals, and medical records.
- Retrieve, sort, and distribute electronic faxes, mail, and messages in a timely manner.
- Communicate with physicians and allied health professionals regarding patient questions, results, and urgent issues.
- Transfer calls and messages to the appropriate individual.
- Respond to patient voicemails and requests in a timely manner.
- Notify patients of upcoming specialist appointments.
- Communicate physician-directed messages and test results to patients in a professional and compassionate manner.
Clinical Support Duties
- Prepare charts and requisitions for periodic health reviews, preventive care visits, and cervical screening appointments.
- Escort patients to examination rooms and assist with visit preparation.
- Measure and record vital signs (adults, children, and infants) as directed.
- Ensure examination rooms are cleaned, organized, and appropriately stocked.
- Collect, prepare, and process specimens such as urine samples and swabs as required.
- Assist with other clinical and administrative duties as needed.
Qualifications and Requirements
Education
We welcome applications from candidates with:
- Medical Office Assistant (MOA) training and/or experience in a medical office; or
- A university degree or diploma in a health-related or science-based field (e.g., Health Sciences, Life Sciences, Nursing, Kinesiology, Psychology, Biology, Biomedical Sciences, Public Health, or related disciplines).
Recent graduates and candidates interested in building a career in healthcare are encouraged to apply.
Skills and Experience
- Previous experience in a medical office or healthcare setting is an asset but not required for the right candidate.
- Experience with Accuro EMR is an asset.
- Strong computer skills, including proficiency with Windows, email, and web-based applications.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage competing priorities in a busy clinical environment.

Additional Assets
- Experience taking patient vital signs.
- Experience working in family medicine, primary care, or another healthcare setting.
- Experience interacting with patients in person and by telephone.
- Willingness to learn clinical skills such as administering IM and SC injections.
- Experience working with diverse patient populations.
Other Requirements
- Required to wear a mask when interacting with patients who have infectious symptoms.
