Position Summary
Fairweather is seeking a highly organized and motivated Retail Projects Coordinator to support operational and project-based initiatives across the business.
This role is responsible for coordinating store signage projects, maintenance and facilities requests, vendor relationships, landlord approvals, store location management, and various operational projects. The Retail Projects Coordinator will also support procurement initiatives by sourcing products, services, and vendors while identifying opportunities for cost savings and operational improvements.
Reporting to Executive Leadership, this position requires exceptional organizational skills, strong follow-through, and the ability to manage multiple priorities in a fast-paced and constantly evolving environment. The successful candidate will play an important role in supporting the execution of projects that impact stores, facilities, and overall business operations.

Key Responsibilities
Retail Projects
- Coordinate retail projects from initiation through completion.
- Maintain project schedules, documentation, and status updates.
- Track project timelines and ensure deadlines are met.
- Liaise with internal departments, landlords, vendors, and contractors to ensure successful project execution.
- Support store openings, relocations, renovations, and special projects as required.
Store Signage Management
- Coordinate exterior and interior store signage projects.
- Create and manage signage mockups and proofing documents.
- Obtain quotations from signage vendors and coordinate production timelines.
- Manage landlord and mall approval processes.
- Coordinate signage installation and ensure projects are completed accurately and on schedule.
- Maintain signage records and project documentation.
Store Maintenance & Facilities Management
- Coordinate maintenance and repair requests for retail stores.
- Source qualified contractors and service providers.
- Obtain competitive quotations and recommend solutions.
- Schedule and coordinate repairs, maintenance, and service work.
- Follow up with vendors and stores to ensure work is completed properly and on time.
- Maintain records of maintenance activity, vendor performance, and project costs.
Head Office & Warehouse Facilities Management
- Coordinate maintenance, repairs, and improvements for the company’s head office and warehouse facilities.
- Manage relationships with service providers including electricians, plumbers, HVAC contractors, locksmiths, cleaning providers, and general contractors.
- Coordinate preventive maintenance programs and service schedules.
- Assist with office and warehouse improvement projects.
- Ensure facilities are maintained in a safe, clean, and professional manner.
Store Location Management
- Maintain accurate store information across all customer-facing platforms.
- Update Google Business Profiles, store hours, contact information, and location details.
- Coordinate updates to mall directories, landlord listings, and other location databases.
- Audit store information regularly to ensure accuracy and consistency.
Vendor Management & Procurement Support
- Research products, services, and suppliers as required.
- Obtain competitive quotations and identify cost-saving opportunities.
- Assist with vendor selection and supplier evaluations.
- Maintain vendor records, pricing information, and contact databases.
- Support purchasing and procurement initiatives for retail stores, facilities, and operational projects.
Administrative & Reporting Support
- Maintain project tracking reports and operational documentation.
- Organize contracts, permits, approvals, and project records.
- Prepare summaries, status updates, and reports as required.
- Support additional operational projects and initiatives as assigned.
Preferred Experience
- Experience in retail operations, facilities coordination, project coordination, maintenance administration, procurement, or related fields is considered an asset.
- Experience working with vendors, contractors, landlords, or service providers is considered an asset.
- Proficiency with Microsoft Office, Google Workspace, and spreadsheet management.
Education
- Relevant post-secondary education and/or equivalent work experience is considered an asset.

Pay: $45,000.00-$55,000.00 per year
