Position Summary
As a key member of the Carhive operations team, the Parts & Service Manager plays a critical role in ensuring the efficient day-to-day management of the dealership’s service and reconditioning processes. This position is responsible for coordinating service operations, managing parts procurement and inventory flow, supporting reconditioning timelines, and maintaining strong communication between departments to ensure units are prepared and delivered on schedule.
The ideal candidate is highly organized, proactive, and capable of thriving in a fast-paced automotive environment. Strong communication skills, operational efficiency, and automotive industry experience are essential to success in this role.
Key Responsibilities
- Open and secure the facility at the beginning and end of each day.
- Send notifications for newly arrived units, including tagging and organizing keys.
- Facilitate parts ordering, pricing, returns, and core management efficiently and accurately.
- Assist with picking up parts and delivering units for service appointments as required.
- Maintain service and safety timelines while providing regular updates on vehicle readiness.
- Communicate closely with mechanics and technicians to ensure deadlines and production targets are met.
- Provide daily updates on sold units and reconditioning progress.
- Schedule service appointments and respond to customer service inquiries professionally and promptly.
- Ensure newly arrived units are assessed quickly and moved through the reconditioning process efficiently.
- Create work orders and accurately capture reconditioning costs within the dealer management system.
- Assist in preparing units for EBlock capture and sale readiness.
- Support overall operational efficiency by collaborating with sales, service, and management teams.

- Automotive Operations Knowledge: Strong understanding of automotive service operations, parts management, and vehicle reconditioning processes.
- Organizational Skills: Exceptional attention to detail with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Communication & Coordination: Strong interpersonal and communication skills with the ability to work effectively across departments.
- Problem Solving: Ability to proactively identify operational challenges and implement practical solutions efficiently.
- Customer Service Focus: Professional and customer-oriented approach when handling service appointments and inquiries.
- Technical Systems Knowledge: Experience using dealer management systems and maintaining accurate operational records.
- Team Collaboration: A dependable team player who supports dealership operations and contributes to a positive workplace culture..
Qualifications
- Previous experience in automotive service, parts, or dealership operations preferred.
- Experience as a Service Advisor or Parts Desk representative considered an asset.
- PBS Dealer Management System experience is considered an asset.
- OMVIC certification is considered an asset.
- Strong multitasking and time management abilities.
- Valid driver’s license required.
