The Physio Approach is a Physiotherapist-owned private practice, operating in the heart of North York. We are a team consisting of Physiotherapists, Sports Physician and Massage Therapists. We have a growing reputation of providing exceptional patient-centered care. We have developed strong relationships with orthopedic surgeons, physiatrists, and family doctors, and focus on collaborative care to efficiently rehab our patients.
We are currently looking for a friendly, enthusiastic, and motivated individual to join our team as a part-time Client Care Coordinator/Receptionist, with the potential to become full-time. The ideal candidate will need to demonstrate exceptional communication skills, show initiative, be detail-oriented and the ability to adapt in a fast-paced environment. HOURS:
Part-time 2 days per week (approx 8 hrs shifts), evenings and Saturday
DUTIES AND RESPONSIBILITIES:
- Manage reception area and patient flow, greeting and checking patients in as they arrive
- Coordinate and schedule patient appointments efficiently and accurately, and ensuring practitioners stay on schedule by notifying of patients arrival
- Answer phone calls and respond to inquiries or direct calls to the appropriate staff member
- Collect and update patient information, including insurance details and medical history
- Verify insurance coverage and process insurance claims
- Assist with billing and payment processing, including billing to third party insurance companies through various portals and WSIB insurance claims
- Coordinate between referring physicians and staff
- Handling incoming faxes and scanning appropriate reports, charts and other documents correctly into patients charts
- Maintain patient accounts by obtaining, recording and updating personal and financial information while adhering to confidentially procedures
- Responding to online appointment requests in a timely manner
- Completing confirmation calls/emails
- Daily, Weekly & Monthly Balancing & Reports
- Other administrative tasks (manage office supplies and inventory, cleaning etc)
- Creating marketing and social media content
QUALIFICATIONS:
- 2 years of previous receptionist/administrative experience at Physiotherapy clinic
- Excellent communication skills both verbal and written
- Performance oriented
- Excellent organizational and time management skills
- Strong attention to detail and organizational abilities
- Ability to multitask and prioritize tasks in a fast-paced environment
- Experience using Jane Scheduling System is an asset
- Knowledge in Telus billing and third party insurance portals, including WSIB, is an asset.
- Experience using digital media software (such as Canva), Instagram, Facebook is an asset
