About the Role
We are seeking a highly organized, service‑oriented Tenant Services & Administrative Coordinator to support the day‑to‑day operations of our Property Management team during a maternity leave coverage period. This role is ideal for someone who enjoys working in a fast‑paced, customer‑focused environment and takes pride in providing exceptional service to tenants, vendors, and visitors.
Key Responsibilities
Administrative Duties
- Act as the primary receptionist for the Property Management office, including greeting visitors and coordinating office services such as couriers, calendar management, filing, equipment, and supplies.
- Provide administrative support to the Property Management team, including responding to inquiries and organizing leasing files (both digital and hard copy).
- Maintain organized records, including lease documents, tenant correspondence, property reports, and Tenant Manuals.
- Support marketing efforts by managing and maintaining directory boards and the shopping centre website, ensuring promotions, events, and store directories are current.
- Administer the Tenant and Contractor Insurance Certificate Program.
Financial Management
- Process vendor invoices for payment and maintain the cheque tracking sheet.
- Prepare and maintain accurate sales reports and monthly agendas for assigned properties.
Maintenance & Tenant Coordination
- Coordinate and track maintenance requests, ensuring timely communication with tenants and vendors.
- Assist with the coordination of tenant and community events in support of tenant engagement initiatives.
Qualifications & Attributes
- Post‑secondary education or equivalent work experience.
- Prior experience in property management and/or real estate is considered an asset.
- Proficiency in Microsoft Office is preferred.
- Strong organizational, multitasking, and time‑management skills with attention to detail.
- Excellent written and verbal communication skills.
- A service‑driven mindset with a commitment to consistently delivering a high standard of tenant support.

Contract Details

Pay: $45,000.00-$50,000.00 per year
