Full job description

Purpose

The Leasing, Marketing & Engagement Coordinator plays a key role in executing marketing and leasing initiatives across multiple rental properties, supporting property performance while maintaining brand consistency. This position requires strong project coordination, cross-functional collaboration, and the ability to manage multiple initiatives simultaneously.

The role includes supporting day-to-day leasing and marketing activities and coordinating property-level resident events and activities to enhance community engagement and the overall resident experience. Strong project management skills and close collaboration with Leasing, Marketing, and Operations teams are essential to success in this role.

Main Responsibilities:

Leasing & Marketing:

Conduct annual leasing and marketing audits (photos, floorplans, virtual tours, digital content).
Complete website and ILS updates as required (contact info, photos, content, availability and monthly promotions)
Troubleshoot issues in coordination with the appropriate manager.
Perform leasing and marketing data analysis and support creation of weekly/monthly reports and graphs
Report to the Director of Marketing while supporting Leasing Managers and Account Managers in executing strategies and tactics.
Provide administrative support to the Leasing & Marketing team, including quarterly advertising screenshots and assistance in presentation content.

Reporting:

Assist in developing the monthly open house schedule by identifying high‑vacancy properties and collaborating with Leasing Managers; schedule strategically based on suite completion and turnover timelines.
Ensure weekly leasing reports are updated across all platforms (Teams, Property Vista, Yardi).
Support bi‑weekly revenue management, including uploading weekly pricing recommendations and reviewing them with the appropriate Leasing Manager or Account Manager.
Prepare and distribute weekly leasing and marketing summary reports to management, including week‑over‑week (WoW) and month‑over‑month (MoM) application activity analysis.

Projects:

Continuously identify opportunities for process improvement and innovation within leasing & marketing operations.

Events & Engagement:

In collaboration with the Marketing team, coordinate, plan, and execute property-level resident events, including seasonal programming such as open houses, BBQs, grab‑and‑go stations, and resident appreciation events to drive engagement and community connection. Roughly 2-3 per year at each site
Partner closely with Residential Operations and Marketing team members to coordinate vendors, manage logistics, and ensure smooth, on‑time event execution.
Assist in the development of event concepts and themes that enhance the resident experience and foster community connection.
Maintain event calendars, timelines, and checklists, ensuring proper planning, internal communication, and post‑event follow‑up.
Coordinate all event materials and resources, including signage, marketing collateral, giveaways (if applicable)
Collect resident feedback and track event engagement metrics to evaluate effectiveness and inform future programming improvements.
Serve as the primary point of contact for event vendors, partners, and contractors.
Assist with event budget tracking and cost management, ensuring efficient use of resources.
Support leasing and marketing objectives by aligning resident events with broader promotional campaigns and resident communications.

Qualifications:

Education & Experience

Post-Secondary Degree in Marketing or Business Administration.
2 to 3 years’ related experience
Experience in a real estate office or property management environment preferred
Project management experience, with leading initiatives and working cross-functionally to achieve goals.
