Job Overview

The Managed Print Services Specialist works as an integral part of the Administration team supporting the Managed Print Services Executives. You will interface with Technical Services, Sales, Finance, and clients. This is an outstanding opportunity to join a growing organization offering potential for future career progression. You will receive extensive training and support in the use of our integrated ERP system.

Responsibilities:

General Sales Support
- Providing support to Sales Executives where applicable
- Big Deals / Special Pricing / Bid Support
- HP EDP Quoting
- CPP and MPS Calculation
Leasing
- Manage all Lease vendors
- Prepare all lease quotes and leasing contracts/documents
- Send, collect and manage lease paperwork
Quote Generation
- Review ALL costs, items, configurations, fees, installation, freight charges prior to generating
- Review and confirm all software licensing, maintenance and professional services prior to generation
- Manage all leasing options and quoting rates (DLL / National Leasing / HP Financial)
Sale Execution
- Ensure all Items, costs, hardware and software configurations, fees, installation, freight charges are processed correctly on order
- Ensure all leasing documents are signed, completed and submitted to leasing company and handed over to Contract Specialist when complete
- Work with Purchasing Specialist to ensure orders are processed and shipped correctly
- Escalate backordered equipment orders when required
- Invoice all hardware orders after shipped and or delivered
QBR Reporting
- Prepare all required QBR reports for presentation to Customer by Sales Executive. QBR Schedule to be determined by the Sales Executive and MPS Admin and provided in advance.
- Review account to provide further analysis (Fleet review, volume review, issue review etc).
Customer Onboarding
- Facilitating handoff from Rep to MPS Admin team for smooth customer onboarding
Device Monitoring
- Ensure all contract equipment is being monitored and appropriately tracked
- Ensure all like-devices are identified and added to contract
- Ensure all new devices that are captured are added to contract where applicable or reported to the Account Executive
- Ensure all equipment numbers locations and relevant information is updated
- Ensure all equipment automatic monitored for supplies replenishment are set under the correct alerts
Contracting / Leases
- Work with Contract Specialist to review all contracts as they are set up in EA to ensure they are free of any error, ensuring all documents are uploaded and filed correctly
Implementation Documentation
- Work as liaison between Customer, Sales Executive and Service to ensure all documentation has been completed completely and accurately
- Ensure Scope of Work has been completed and signed off by Customer prior to commencement
- Coordinate with Operations Manager to create implementation schedule and keep Sales Executive and Customer informed progress

Education

College Diploma or University Degree (or equivalent)

Skills

Minimum 3+ years customer service experience
High level of commitment to exceptional customer service and relationship building
Strong written and verbal communication skills
Ability to work individually and in a team environment
Proficiency in office tools – Word, Excel, PowerPoint, CRM
3+ years sales related experience an Asset
Bilingual in English and French an Asset
