We are assisting our client, a Contract Research Organization supporting pharma and medical device companies, in hiring a Senior HRIS and Payroll Specialist. This position is responsible for the accurate and timely processing of bi-monthly payroll; reconciliation of payroll accounts; preparation of monthly, quarterly and annual relevant reports; management of all data and processes within the HRIS system; and all related activities. The Senior Payroll and HRIS Administrator will act as the subject matter expert for data, system and business configuration as well as all reporting. The incumbent will also be able to assist with implementing, managing, and improving all HR functions within the HRIS system.
Responsibilities:
Payroll - Canadian and US
- Accurately and efficiently administer the full-cycle payroll process for Canadian (260) and US (200) employees through UKG (Ultipro
- Prepare adjustments and entries in the system for all employment offers, bonus payments, increases, and other employee transactions.
- Maintain and deliver payroll reports. Compiling and summarizing payroll information for management reports on a required basis.
- Generate and assist with regular monthly and annual payroll remittances and filings with respect to third party withholdings.
- Provide customer service to all employees regarding all payroll inquiries, researching and troubleshooting all related issues.
- Maintain in-depth understanding of tax compliance and reporting requirements such as ROE’s and year-end T4’s and US W-2’s and others as necessary.
HRIS - UKG
- Optimize the design, development, and performance of the HRIS system and processes.
- Assist with rollout strategy and execution of system changes (updates, integrations, new configurations), and participate in all aspects of system testing.
- Conduct regular audits to ensure data integrity, and maintain security roles and rights across all modules (e.g. Employee set up, design, problem solving).
- Responsible for investigating data errors and correcting them as appropriate to ensure accuracy.
- Institute system best practices within the HR team to maintain data integrity.
- Provide training, direction, guidance and continued support to HR staff and staff in other departments regarding the HRIS
Qualifications:
- Bachelor Degree in related field.
- Payroll designation and/or HR designation preferred.
- 3 to 5 years’ payroll experience: Canadian payroll and U.S multi-state payroll. Experience with China payroll is an asset.
- HRIS systems administration experience is required. Experience with UKG (Ultimate Software)
- Strong technical proficiency in MS Office Suite with strong excel skills, including VLOOKUP.
- Good communication skills; both verbal and written are required
- Must be a team player with flexible work style and ability to manage multiple projects simultaneously.
