Job Summary
We are currently looking for a meticulous and proactive Finance Assistant to join our finance department. This role is critical in supporting various financial operations, maintaining critical financial records, and ensuring that our financial practices adhere to regulations and company policies. The ideal candidate will demonstrate keen attention to detail, possess strong organizational skills, and have a foundational understanding of financial principles and practices.
Key Responsibilities:
1. Financial Record Keeping:
· Accurately maintain and update all financial records, including general ledgers, invoices, bank statements, and receipts.
· Assist in the preparation and analysis of monthly, quarterly, and annual financial statements and reports to ensure timely and accurate financial reporting.
2. Accounts Payable and Receivable Management:
· Efficiently process accounts payable and receivable transactions, ensuring all invoices are entered correctly and payments are made punctually.
· Manage relationships with both vendors and clients, addressing any billing discrepancies or inquiries promptly.
· Generate and send out invoices, track outstanding payments, and follow up on overdue accounts effectively.
3. Payroll Management:
· Process payroll on a predetermined schedule (weekly, bi-weekly, monthly), ensuring timely and accurate distribution of paychecks or direct deposits.
· Ensure all payroll practices comply with local, state, and federal labor laws, regulations, and tax requirements.
· Stay updated on changes to payroll laws and tax regulations, implementing necessary adjustments to processes and policies as needed.
· Administer deductions for health insurance, retirement plans, garnishments, and other employee benefits, ensuring accurate and timely processing.
· Prepare and distribute payroll reports for management, detailing payroll expenses, taxes withheld, and other relevant financial metrics.
· Reconcile payroll data with accounting records to ensure consistency and accuracy between payroll and accounting departments.
· Work closely with HR to ensure accurate employee information, including new hires, terminations, promotions, and changes in salary or benefits.
· Collaborate with finance to align payroll budgeting and forecasting with organizational expenses.
4. Budget Assistance:
· Collaborate closely with the finance team and Executive Director in the preparation of annual budgets, monitoring departmental expenditures and ensuring adherence to budgetary guidelines.
· Track budget variances, analyze spending trends, and assist in creating financial forecasts to support strategic decision-making.
4. Reconciliation:
· Conduct regular bank reconciliations to ensure the accuracy of transactions and reconcile discrepancies between internal financial records and bank statements.
· Assist in reconciling other financial accounts and sub-ledgers, identifying discrepancies, and implementing corrective measures.
Qualification:
o High school diploma or equivalent; an associate degree in finance, accounting, or a related field is preferred.
o Proficiency in Microsoft Office Suite (particularly Excel) and accounting software (e.g., QuickBooks, Sage, or similar ERP systems).

o Valid Driver’s License and willing to submit to criminal record check and provide drivers abstract.
Job Type: Full Time (37.5hrs/week) 8am to 4pm
