Your Opportunity
Are you highly organized, detail-oriented, and comfortable balancing customer needs with numbers and deadlines? We are looking for a proactive Sales & Accounting Coordinator to support our sales activities, customer orders, and day-to-day accounting administration.
You will work closely with our sales, customer service, graphic design, production, and management teams to help move customer projects from quotation through invoicing and payment. This is an excellent opportunity for someone who enjoys variety, takes pride in accuracy, and wants to contribute to a collaborative and growing company. What You’ll Do:
Sales and Order Coordination
- Support sales representatives with quotations, presentations, product research, sample requests, and customer follow-up
- Obtain product specifications, pricing, availability, and production timelines from suppliers
- Review quotations to ensure they are accurate, complete, and aligned with customer requirements.
- Enter and maintain customer and order information in internal systems
- Coordinate artwork approvals, production timelines, delivery details, and other project requirements
- Monitor project progress and follow up with customers, suppliers, and internal teams to help keep orders on schedule
Customer and Supplier Support
- Respond to customer inquiries regarding orders, timelines, invoices, and general account information
- Provide customers with timely updates and help coordinate solutions when concerns arise
- Communicate with suppliers regarding product specifications, inventory, production timelines, invoices, and
- discrepancies
- Work closely with sales, graphic design, production, and customer service teams to support a smooth customer experience
Accounting Administration
- Prepare and process customer invoices accurately and on time
- Monitor accounts receivable and follow up professionally on outstanding balances
- Process and verify supplier invoices and support accounts payable administration
- Confirm appropriate coding, approvals, and supporting documentation
- Reconcile vendor statements and assist in resolving billing discrepancies
- Support month-end activities, reporting, and financial record maintenance
- Maintain accurate and organized electronic accounting records
Administrative and Process Support
- Maintain accurate records relating to quotations, orders, invoices, payments, and customer communications
- Assist with sales reporting, pipeline tracking, and other administrative reporting
- Identify opportunities to improve administrative workflows and internal processes
- Provide general office and project support as required
What You Bring:
- Previous experience in sales support, customer service, office administration, bookkeeping, or accounting administration
- Strong attention to detail, particularly when working with pricing, invoices, orders, and data entry
- A basic understanding of accounts payable, accounts receivable, and invoicing
- Proficiency with Microsoft Office, particularly Excel
- Experience using accounting, order-management, or ERP software is an asset
- Strong organizational and time-management skills
- Clear and professional written and verbal communication
- The ability to prioritize competing demands and manage several projects at once
- A proactive, collaborative, and solutions-focused approach
- Comfort learning new software and internal processes
