Overview
The Fundraising, Events & Administrative Assistant plays an important role in supporting the organization's fundraising activities, family and community events, communications, marketing initiatives, and day-to-day administrative operations. This position helps strengthen donor relations, public awareness, organizational efficiency, and community engagement while contributing to an inclusive and welcoming environment for individuals and families we serve.
This role is ideal for someone who is organized, creative, team-oriented, and passionate about making a positive impact within the nonprofit sector.
Responsibilities
Fundraising & Development
- Assist with planning and coordinating fundraising campaigns and events.
- Support donor stewardship activities, sponsorship outreach, and donor recognition initiatives.
- Maintain donor, sponsor, and fundraising records.
- Assist with grant preparation, fundraising materials, sponsorship packages, and promotional content.
- Support online fundraising efforts and donor communications.
Communications & Marketing
- Assist with developing and managing social media campaigns, newsletters, website updates, and public awareness initiatives.
- Assist with promotional materials, sponsorship packages, media releases, and event communications.
- Support branding consistency across all communication platforms.
- Coordinate advertising opportunities, media relations, and community outreach efforts.
- Track engagement and assist with reporting on marketing and fundraising initiatives.
Event Coordination
- Assist in organizing family, community, educational, and fundraising events.
- Coordinate event logistics including registrations, volunteers, vendors, supplies, and venue requirements.
- Help with event setup, takedown, and onsite support.
Administrative Support
- Provide reception and office administrative support as required.
- Answer phones, emails, and general inquiries professionally.
- Assist with scheduling, data entry, filing, and record management.
- Prepare letters, reports, forms, presentations, and meeting materials.
- Support staff with general office coordination and organizational tasks.
Qualifications
- Experience in communications, fundraising, nonprofit organizations, marketing, community engagement, administration, or event planning.
- Team-oriented with demonstrated leadership abilities.
- Experience working with the special needs, disability, or neurodiverse community is considered a strong asset.
- Strong written and verbal communication skills.
- Experience with social media management, digital communications, and event coordination.
- Proficient in Microsoft Office, Canva, and social media platforms.
- Maintain event calendars, timelines, and planning documents.
- Support outreach and engagement activities within the community.
- Strong organizational, time management, and multitasking skills.
- Comfortable working independently in a fast-paced environment.
- Friendly, professional, and compassionate approach when working with families, volunteers, donors, and community partners.
- Ability to occasionally lift up to 50 lbs and assist with event setup and takedown.
- Valid driver's license and reliable transportation are considered assets.
Pre-Employment Requirements
- Diploma or higher in Social Services, Disability Services, Human Services, Communications, Marketing, Business Administration, or a related field.
- RCMP Criminal Record Check, including Vulnerable Sector Check (dated within the last 6 months).
- Alberta Children's Services Intervention Record Check (dated within the last 6 months).
- Current First Aid and CPR Certification.
- NVCI (Nonviolent Crisis Intervention) Certification.
- ASIST (Applied Suicide Intervention Skills Training) Certification.
- Valid Class 5 Driver's License.
- Clean 3-Year Driver's Abstract.
- Valid vehicle insurance with a minimum of $2,000,000 liability coverage.
- Two professional references with contact information.
Working Conditions
- Part-time position: 28 hours per week.
- Monday to Friday schedule.
- Approximately every second Saturday is required.
- Occasional evening and weekend event attendance may be required.

- Wage range: $26.00–$30.00 per hour based on experience and qualifications.
