Reports To Director of Sales
Position Summary
The Sales Coordinator is responsible for providing administrative support to the Sales department while managing group reservations across two hotel properties. This role serves as a key communication liaison between Sales, Front Office, Catering, and Operations teams to ensure the seamless coordination and execution of group business.
The Sales Coordinator owns sports-related group business. They maintain our sales system and reporting while providing exceptional customer service throughout the group booking process. With strong organization, attention to detail, and effective communication, this role contributes to the success of revenue goals and guest satisfaction.
Key Responsibilities
Group Reservations & Room Block Management
- Serve as the primary contact for sport group inquiries, rooming list submissions, reservation adjustments, and billing instructions.
- Monitor cut-off dates, pickup reports, rooming lists, and block utilization to maximize room inventory and revenue opportunities.
- Maintain accurate records of contracts, correspondence, room block details, and client information within hotel systems.
Sales Administration Support
- Manage incoming sales inquiries and direct opportunities to the appropriate Sales Manager.
- Prepare proposals, agreements, reports, and sales documentation as required.
- Maintain accurate client accounts, activities, leads, opportunities, and correspondence within the sales database.
- Assist with client site inspections, sales presentations, familiarization tours, and special events as required.
- Prepare weekly, monthly, and ad hoc sales reports and activity summaries.
- Support the maintenance of sales collateral, presentations, promotional materials, and electronic sales resources when required.
- Other duties as assigned.
Sports Market
- Develop sports-related group business across both hotel properties.
- Maintain and update sports booking platforms, including CSTT, EventConnect, and other industry-related systems.
- Respond to sports team and tournament inquiries in a timely and professional manner.
- Create & contract and monitor group room blocks for sports teams and event organizers.
- Develop and maintain positive relationships with coaches, sport agencies, tournament organizers & sports associations.
Sales System Administration
- Serve as a key resource for sales system maintenance and administration.
- Maintain templates, forms, reports, account records, and sales resources to ensure accuracy and consistency.
- Provide day-to-day support and troubleshooting for system users.
- Assist with onboarding and training new team members on sales processes and system functionality.
- Maintain Sales System Standard Operating Procedures (SOPs) and process documentation.
- Support system implementations, upgrades, and property onboarding requirements as needed.
Operational Coordination
- Communicate group arrival information, rooming details, special requests, and operational requirements to applicable departments.
- Participate in group review meetings, pre-arrival meetings, and other operational planning sessions as required.
Qualifications
Experience
- Minimum two (2) years of experience in hotel front office or hotel sales experience
- Experience working with hotel property management, sales, or catering systems preferred.
- Previous experience managing group reservations and room blocks is considered an asset.
- Experience with EventConnect, CSTT, sales & PMS systems is preferred.
Knowledge, Skills & Abilities
- Strong organizational and time-management skills with ability to manage multiple priorities across two properties.
- Exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Strong customer service and relationship-building abilities.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel
- Ability to work independently while contributing positively to a team environment.
- Strong problem-solving and decision-making skills.
- Ability to maintain confidentiality and handle sensitive business information.
Working Conditions
- This is an office-based environment supporting two hotel properties, & not remote
- Occasional attendance at client meetings, site tours, or industry events may be required.
- Flexibility to work occasional evenings or weekends based on business needs.

Pay: $45,000.00-$45,500.00 per year
