Overview

We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to our CEO. This dynamic role offers the opportunity to be the right hand in a fast-paced environment, ensuring seamless daily operations and effective communication across all levels of the organization. The ideal candidate will demonstrate a passion for administrative excellence, possess strong organizational skills, and thrive in a multitasking environment. Responsibilities

Manage and maintain the CEO’s calendar using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements efficiently.
Handle incoming calls with professionalism, utilizing multi-line phone systems and practicing excellent phone etiquette.
Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy.
Organize and maintain files, records, and documents through meticulous filing systems both physically and digitally using Google Workspace and Microsoft Office tools.
Assist with bookkeeping tasks using QuickBooks, including data entry, invoicing, expense tracking, and basic financial record keeping.
Coordinate logistics for meetings and events, including venue setup, catering arrangements, and technology requirements.
Support front desk responsibilities by greeting visitors, managing office supplies inventory, and providing exceptional customer service to internal teams and external clients.
Utilize DocuSign for electronic signatures on contracts and important documents to streamline approval processes.
Perform clerical duties such as typing correspondence, proofreading documents for accuracy, and managing data entry tasks with precision.

Requirements

Proven experience in an administrative or office support role with at least some clerical or executive assistant responsibilities.
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Excellent communication skills with professional phone etiquette and customer service experience.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), Microsoft Outlook Calendar, and familiarity with multi-line phone systems.
Experience with QuickBooks for bookkeeping tasks such as invoicing and expense management.
Ability to perform data entry accurately while maintaining attention to detail; proficiency in proofreading is essential.
Office experience that includes filing systems, front desk duties, and general administrative support.
Knowledge of DocuSign or similar electronic signature platforms is a plus.
Typing speed of at least 50 words per minute preferred; familiarity with office equipment such as printers, scanners, and fax machines is advantageous.
