Job Posting: Front Desk & Executive Director Assistant
Position Type: Part-Time (12–14 hours per week estimated)
Wage: $20.00 / hour
Schedule: Preferred Monday to Thursday 11am to 2pm. (Every 1st & 3rd Tuesday for Bingo 10am to 2pm)
Time Off: Includes 2 weeks off at Christmas. No statutory holidays required.
Job Overview
The Heritage Centre is seeking a reliable, friendly, and community-minded individual to join our team. This position is strictly based inside the Centre mainly at the front desk. You will serve as the point of contact for the public, manage volunteer scheduling, and assist with light event logistics and ongoing organization projects. Reporting directly to the Executive Director.
Key Responsibilities
1. Front Desk & Guest Relations (Daily)
· Act as a warm, welcoming presence for walk-ins and phone calls at the information desk.
· Process annual memberships using a dedicated office laptop. Keep member contact directory updated.
· Register community members for upcoming events and paid activities.
· Manage routine office inquiries.
2. Volunteer Coordination
· Actively reach out to, schedule, and organize our roster of community volunteers to ensure all upcoming scheduled events are fully staffed.
3. Midweek Event Logistical Setup (Wednesdays)
· Coordinate the internal administrative setup for our Wednesday programs.
· Prepare the event cash box, organize Nevada ticket stations, and set up raffle supplies so everything is secure and ready for the day.
4. Bi-Weekly Bingo Support (1st & 3rd Tuesdays)
· Ensure necessary groceries are ready for concession; pick up at AG Foods. Set out equipment and set up Bingo card station along with Nevada sales station. Assist with proof of purchase during bingo card sales and with checking bingos. Assist at sales station to ensure correct payouts are completed.
5. On-Site Organization & Archiving (Ongoing Downtime Projects)
· Digital Photo Archive: Organize historical and event photos on the computer into clean folders, and select the best community moments to print for physical display boards and books.
· Historical File Sorting: Systematically sort through old filing boxes using a mobile sorting station to separate permanent archive records from duplicate/expired paperwork.
· Supply & Event Prep: Collate handouts, assemble event name tags/sign-in sheets, and track event supply inventories (coffee, napkins, office supplies) so reorder lists are ready.
6. Assist with Executive Director
· Photo Copying
· Event Preparation and Setup
· Other related duties.
Qualifications
· Reliable and Punctual: Dependable attendance is critical to maintaining consistent public-facing office hours.
· Friendly and Approachable: Excellent customer service skills with a natural comfort interacting with the general public and seniors.
· Organized and Independent: Comfortable tracking registration sheets, scheduling volunteers, and managing basic cash-box setups with minimal supervision.
