Van Raay Farms Ltd. is seeking a highly organized and proactive Executive Assistant to support senior leadership in managing both administrative and operational priorities. This role is integral to ensuring the smooth execution of day-to-day business functions, with exposure to financial reporting, farm operations, and strategic initiatives.
This is a hybrid position, with time split between an office environment and active engagement on the farm. The ideal candidate is adaptable, detail-oriented, and comfortable working in a fast-paced, hands-on setting, including occasional outdoor conditions.
As a trusted partner to leadership, the Executive Assistant will bring structure, coordination, and operational discipline, enabling the leadership team to focus on production, growth, and long-term success.
YOUR DAY TO DAY
Executive & Operational Support
- Provide high-level administrative support to senior leadership, including calendar management, scheduling, and correspondence
- Coordinate meetings, prepare materials, and track follow-ups and action items
- Support overall business operations and ensure effective communication across teams
Financial & Administrative Support
- Assist with bookkeeping activities and liaise with external or internal accounting resources
- Maintain and update records in Excel, including tracking budgets, expenses, and operational data
- Support the preparation and analysis of financial statements and reports
- Identify trends and provide basic financial insights to support decision-making
Marketing & Communications
- Support promotional initiatives, including content coordination for social media platforms
- Assist with website updates and development efforts
- Help maintain consistent brand messaging across communications
People & HR Coordination
- Provide administrative support for HR-related processes (e.g., onboarding coordination, documentation, employee records)
- Assist with maintaining compliance with policies and procedures
- Support employee communication and engagement initiatives
Research & Funding Support
- Conduct research on available grants, funding opportunities, and government programmes
- Assist in preparing documentation and coordinating applications for funding initiatives
- Monitor deadlines and ensure timely submission of required materials
WHAT YOU BRING
- 3+ years of experience in an Executive Assistant, Administrative, or Operations support role
- Strong proficiency in Microsoft Excel and general Office tools
- Experience supporting bookkeeping or financial administration is an asset
- Familiarity with financial reporting and analysis
- Exposure to social media management or website coordination
- Basic knowledge of HR processes considered an asset
- Strong research skills, particularly related to funding or grants
