Full Time Administrative Assistant

Location: Moose Jaw Psychology Services

Job Type: Full Time

Availability: Weekdays, 9am-5pm

About the Role: We are seeking an experienced, detail oriented and dependable full time Administrative Assistant to join our team. The ideal candidate will provide crucial administrative support to ensure smooth day-to-day operations. This role is in-office. This is not a remote role or a hybrid position.

Key Responsibilities:

Client & Therapist Support:
Greet and assist visitors, answer phones, direct calls, and respond to inquiries.
Schedule sessions.
Support therapists with research and preparation of assessments.
Perform other related duties as required
Administrative Tasks:
Type correspondence, reports, and other documents.
Maintain office files and records of decisions.
Review, edit, and prepare reports and documents as needed.
Office Maintenance & Coordination:
Coordinate repairs for office equipment.
Operate and maintain databases for client records and business operations.
Safeguard all confidential files and proprietary information.
Financial Support:
Generate invoices and take payments.
Manage accounts receivable/payable.

Qualifications:

Required: At least 3 years of Administrative Assistant experience.
Strong organizational and multitasking skills.
Proficiency in Google Business Suite and database management.
Experience in Jane App. is an asset.
Excellent communication, interpersonal skills, and ability to create rapport with clients and staff.
Ability to maintain confidentiality and handle sensitive information.
Flexible availability for evenings and weekends.
