Job Overview

We are seeking a motivated and highly organized Customer Service & Sales Coordinator for our agency office to support day-to-day customer service, sales, and freight operations. This role is responsible for communicating with customers and carriers, coordinating shipments, preparing freight quotes, and ensuring orders are accurately entered, dispatched, and monitored through delivery.

The ideal candidate is a strong communicator who is comfortable working independently, managing multiple priorities, and providing timely and professional service to customers and transportation partners. Experience within the transportation, logistics, or freight brokerage industry is considered an asset.

Responsibilities

Communicate with customers by phone and email regarding their transportation needs, shipment details, quotes, and status updates.
Develop and maintain positive relationships with existing and prospective customers.
Assist with sales activities, including responding to customer inquiries, identifying shipping requirements, and following up on opportunities.
Build and enter customer orders accurately into the TMS.
Coordinate and dispatch shipments to approved carriers.
Communicate with carriers by phone and email regarding load availability, pickup and delivery requirements, shipment status, and other operational matters.
Trace and monitor shipments from pickup through final delivery.
Proactively communicate shipment updates, delays, service issues, or other concerns to customers.
Calculate and prepare competitive freight quotes for Less-than-Truckload (LTL) and Full Truckload (FTL) shipments.
Obtain and review carrier rates and assist with selecting appropriate transportation solutions based on service requirements and cost.
Confirm pickup and delivery details and ensure all required shipment information is complete and accurate.
Maintain accurate records of customer and carrier communications, shipment details, rates, and supporting documentation.
Communicate and collaborate with the Head Office and other agents to coordinate shipments, resolve issues, and support customer requirements.
Assist with resolving shipment discrepancies, delays, missed appointments, and other service-related concerns.
Follow established company procedures and service standards.
Maintain a high level of organization while managing multiple shipments, customer requests, and deadlines simultaneously.
Perform other administrative, customer service, sales, and operational duties as required.

Requirements

Previous experience in customer service, logistics, transportation, freight brokerage, or sales is preferred.
Experience with LTL and FTL transportation is an asset.
Strong written and verbal communication skills.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Comfortable communicating with customers and carriers over the phone and by email.
Ability to work independently and take ownership of assigned tasks.
Able to prioritize and manage multiple tasks and requests in a fast-paced environment.
Strong problem-solving skills and the ability to respond professionally when issues arise.
Comfortable learning and working with transportation management systems and other computer-based programs.
Dependable, professional, and committed to providing a high level of customer service.

Pay: $45,000.00-$50,000.00 per year
