Pacific One Dental & Brickyard Dental Clinic – Nanaimo, BC

Pacific One Dental and Brickyard Dental Clinic are looking for a friendly, organized, and motivated Dental Receptionist / Administrative Coordinator to join our growing team.

We are looking for someone who takes pride in providing an exceptional patient experience, works well within a team, and is confident managing the day-to-day responsibilities of a busy dental office.

The Role

As a Dental Receptionist / Administrative Coordinator, you will be an important part of our front-office team. You will be responsible for creating a welcoming experience for our patients while supporting the smooth and efficient operation of the practice.

Key responsibilities include:

Greeting and welcoming patients in a professional and friendly manner
Answering phones, responding to patient inquiries, and managing communications
Scheduling and confirming appointments
Managing recalls, reactivation, and unscheduled treatment opportunities
Coordinating new patient intake and maintaining accurate patient records
Processing payments, insurance claims, and account inquiries
Reviewing treatment plans and assisting patients with scheduling and financial arrangements
Coordinating communication between patients, dentists, hygienists, and the clinical team
Maintaining an organized and efficient reception area
Assisting with daily administrative and operational tasks
Following office systems and contributing to a positive and efficient workplace
Providing outstanding customer service throughout the patient journey

What We Are Looking For

The ideal candidate is:

Friendly, professional, and approachable
Highly organized and detail-oriented
Comfortable working in a fast-paced environment
A strong communicator with excellent interpersonal skills
Confident speaking with patients both in person and over the phone
Reliable, punctual, and able to work effectively as part of a team
Comfortable learning and using dental practice management software and technology
Able to multitask while maintaining accuracy and attention to detail
Proactive and willing to take initiative

Previous dental reception or dental administration experience is strongly preferred. Experience with dental software, insurance processing, treatment coordination, and patient scheduling will be considered an asset.
