Empire Homes is seeking a Sales Administrator! In this role, you are responsible for supporting the Sales Representatives within the administrative function of the residential project and contributing to an outstanding purchasing experience.
We have 4 vacancies supporting our communities in Breslau, Caledonia, and the Niagara Region. The expected annual salary range for this role in $50,000-$60,000/year. This position is also eligible to participate in our short-term incentive program.

What We Are Looking For:
- Bachelors Degree or College Diploma
- 1-3 years in an administrative role.
- Real estate or prior homebuilding experience considered an asset.

What You’ll Be Doing Each Day
- Welcome visitors promptly and professionally.
- Offer refreshments and maintain a comfortable guest experience.
- Ensure that all visitors register and add them to Salesforce.
- Engage with prospective homebuyers and/or co-operating outside agents to identify their needs and direct them to the appropriate sales rep on-site.
- Should have basic knowledge regarding the community, model homes, amenities in the area and purchasing process.
- Support the sales reps with any document preparation.
- Answer and direct incoming phone calls, emails and inquiries.
- Maintain marketing materials and ensure brochures, price lists are ready and presentation displays are working.
- Assist with event preparation and community launches.
- Lead opening and closing process for the sales office.
- Assist Sales team by preparing agreements to purchase and sale (APS), amendments, and legal documentation.
- Process agreements to purchase and sale, purchaser deposits, mortgage letters, and purchaser information.
- Record Sales, Cancellations, and update deal statuses on internal Excel reports and CRM software.
- Maintain sales reports and organized file system.
- Daily interaction and correspondence with Head Office, Sales and Marketing team. regarding sales, cancellations, and changes to agreements to purchase and sale.
- Maintain cleanliness, organization, and overall presentation standards of the sales office and model homes.
- Monitor inventory of office supplies and customer materials.
- Ensure all customer-facing areas remain professional and always welcoming.
