WHAT YOU’LL BE DOING:
Reporting to the Accounting Manager, the Office Coordinator will be responsible for handling front office operations, procurement, and administrative support, including reception, purchase orders, travel, and event coordination. You will also provide support for employee onboarding and assist with health and safety administration to ensure efficient day-to-day operations and compliance.
The duties and responsibilities include, but are not limited to the following:
Office Responsibilities
- Manage front desk operations, including answering phones, greeting visitors, and handling mail and courier services.
- Manage the full purchase order process, including creation, processing, vendor distribution, database entry, and record maintenance for general expenses and company credit card transactions.
- Maintain accurate procurement documentation, including packing slips and procurement card records.
- Arrange travel, accommodations, and logistics for staff across departments.
- Support office and company events, including coordination, setup, and vendor arrangements.
- Maintain administrative records, documentation, and emergency contact information.
- Collaborate with internal teams to support business operations and continuous process improvement.
- Perform additional administrative and operational support duties as required.
HR Responsibilities
Onboarding:
- Setting up their desk space including furniture assembly.
- Create onboarding Orientation Schedule.
- Assist HR with IT requests.
OH&S:
- Coordinate committee meeting calendar.
- Maintain updated minutes of meetings.
- File appropriate WCB claims.
- Book Safety training as necessary and ensure training log is maintained.
THE SKILLS & EXPERIENCE YOU BRING TO THE TEAM:
- Experience in office administration, reception, and customer service.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office and administrative systems.
- Experience with purchase orders, procurement, and recordkeeping.
- Ability to coordinate travel, events, and office operations.
- Knowledge of onboarding processes and basic HR support is an asset.
- Familiarity with occupational health & safety procedures and documentation is an asset.
- Strong communication and interpersonal skills.
- Detail-oriented with the ability to prioritize tasks and meet deadlines.

WHERE YOU WILL BE WORKING:
Our office is located in the heart of Spryfield, but more specifically, at 264 Herring Cove Road in Suite #100. If you know the Spryfield area – we are right across the street from Sobeys, close to the ever-increasing options for interesting lunches, and near to beautiful lakes, forests, and trails.
HOURS OF OPERATION:
Our office is open Monday – Friday between 9am – 5pm. Our corporate culture values work-life balance, allowing a flexible, 8 hour workday. Remote desk options are also available at locations within the regional Innovation Ecosystem, including Dalhousie ideaHUB, C.O.V.E., ThePIER, Ignite Labs).
