Job Summary
The Department of Psychiatry is a large, complex clinical and academic department that provides patient care, delivers education and conducts research in the area of psychiatric illness and treatment. The department is an administrative unit of three separate institutions: Dalhousie University, Faculty of Medicine, the Central Zone of Nova Scotia Health and IWK Health.
Reporting to the Operations Manager, the Undergraduate Coordinator provides administrative support and leads the coordination of the Department of Psychiatry’s Undergraduate Medical Doctor program, including scheduling, communications, and program logistics, while serving as a key point of contact for students and faculty.
Key Responsibilities
- Coordinate and administer the undergraduate medical education programs (Clerkship and Pre‑Clerkship), including scheduling clinical rotations, teaching sessions, and orientations across multiple sites.
- Serve as the primary liaison for students, faculty, leadership, and external partners, providing guidance on program requirements, policies, and academic processes.
- Manage program logistics and operations, including call schedules, elective approvals, learner evaluations, site access, and confidential student support in collaboration with leadership.
- Plan, deliver, and support teaching and learning activities, including clinical skills sessions, resident teaching, and distributed education initiatives.
- Lead recruitment and coordination of faculty, preceptors, and volunteer participants, while tracking teaching commitments and preparing reports for funding and program oversight.
- Maintain program quality and compliance by supporting accreditation activities, preparing reports, monitoring budgets and payments, and coordinating placements for learners including Physician Assistant students.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
- Business/Administrative Professionals program with five years’ experience in a similar administrative or program coordination role (or an equivalent combination of training and experience).
- Advanced proficiency in Microsoft Office applications (Word, Excel, Outlook).
- Demonstrated ability to manage complex scheduling, multitask, and prioritize competing demands.
- Strong communication, interpersonal, and customer service skills with a high level of professionalism.
- Proven ability to work independently, exercise sound judgment, and maintain accuracy and confidentiality in a fast-paced environment.
Assets
- Experience working in a clinical, hospital, academic, or medical education environment.
- Familiarity with systems such as One45, Brightspace, SharePoint, databases, or virtual meeting platforms.
- Ability to handle sensitive or emotionally charged situations with professionalism and discretion.
- Knowledge of university, hospital, or UGME policies and procedures and a commitment to continuous learning.
