The Coordinator, Total Rewards is responsible for supporting all functions within the Total Rewards team, which includes Learning and Development, Compensation, HRIS management and data, benefits and leave management. This role supports the team by providing technical expertise, ensuring data accuracy, troubleshooting system issues, generating reports, implementing system upgrades, assisting with special projects and being available to support all functions, when needed. The Coordinator collaborates with various partners to optimize HR processes, help implement new systems and enhance data-driven decision-making. Although reporting directly to the Director, Total Rewards, guidance will often come from colleagues withing the Total Rewards portfolio and full HR team.
Reporting to: Director, Total Rewards
Please note this position is fully on-site and requires in-office attendance five (5) days per week.
HRIS Management:
- Maintain and update the HRIS, ensuring data accuracy and system integrity;
- Manage user access and permissions, ensuring appropriate security measures are in place;
- Monitor system performance and troubleshoot technical issues as they arise;
- Collaborate with IT, HR and Payroll teams to implement system upgrades and enhancements;
- Conduct regular audits to ensure data quality and compliance with company policies and regulatory requirements;
System Optimization:
- Identify opportunities to streamline HR processes and improve system efficiency;
- Work with HR and other departments to implement best practices for data management and system utilization;
- Participate in the design and implementation of new HRIS modules and functionalities;
- Provide recommendations for system improvements based on user feedback and industry trends;
Learning and Development:
- Assist in the implementation and ongoing activities and modules in the Learning Management System (LMS);
- Assist in the coordination of learning activities;
Benefits:
- Coordinate quarterly rollout of the Employee Share Purchase Program (ESPP), answer incoming inquiries, and review forms for accuracy;
- Collaborate with Communications and Payroll teams to ensure timely receipt of ESPP payments and reporting to EiC.
- Assist the benefits and leave management team with ad hoc requests and coverage, as needed.
General:
- Manage records and employee folders.
- Assist with special projects throughout the year and other duties as assigned.
- Post Secondary Education (2 years)
- Diploma in Human Resources or a related field;
- Minimum of 2 years of experience in HRIS administration, learning management, benefits administration or a similar role;
- Experience with HRIS systems such as UKG or similar platforms;
- Familiarity with data analysis and reporting tools;
- Strong technical skills and proficiency in HRIS systems and Microsoft Office Suite, particularly Excel;
- Excellent analytical and problem-solving abilities;
- Strong attention to detail and commitment to data accuracy;
- Effective communication and interpersonal skills, with the ability to collaborate with diverse teams;
- Ability to communicate in Inuktut a definite asset;
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
