Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff, clients, and visitors. Your proactive approach, excellent communication skills, and attention to detail will help foster an efficient, welcoming environment. Duties

Manage front desk responsibilities, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy.
Perform data entry tasks accurately using RFMS and Google Workspace tools, maintaining up-to-date records and files.
Handle clerical duties such as filing, photocopying, proofreading documents, and organizing office supplies to ensure operational efficiency.
Support bookkeeping activities utilizing RFMS for invoicing, expense tracking, and basic financial record keeping.
Provide customer service support either in person or by addressing inquiries via phone or email promptly and professionally.
Assist in scheduling appointments, coordinating meetings, and managing calendars for staff members.
Maintain confidentiality of sensitive information while ensuring all administrative processes run smoothly.

Experience

Proven office experience with a strong background in clerical tasks and administrative support.
Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. RFMS experience is a bonus.
Experience with data entry, proofreading documents, and managing filing systems efficiently.
Prior customer service experience demonstrating excellent phone etiquette and communication skills.
Knowledge of flooring and or construction is highly desirable but not required.
Proficiency in RFMS or similar bookkeeping software is preferred.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Demonstrated computer skills including typing accuracy and speed; familiarity with multi-line phone systems is advantageous.
