Full job description

Prestige Beach House Kelowna is now recruiting for an exciting role that will play a key part in supporting the growth of the business, which in turn supports all departments.

The Guest Services & Event Coordinator supports the Management team with important administrative tasks and duties to ensure groups and events are well organized. This role is tasked with ensuring that documentation is accurate, contracts are executed, deposits are submitted on milestones, and payments and final details are collected in a timely manner. These duties will be completed for meetings & events and front office, including groups, tours, and teams in addition to the catering meetings and events bookings. The Guest Services & Event Coordinator is expected to work Guest Service Agents shifts as assigned.

Competitive hourly wage ($21 per hour) plus approximately $3,000 in annual commission

Duties & Responsibilities:

Create groups and room blocks in Visual Matrix
Input and monitor guest room blocks and/or rooming lists
Monitor release dates
Assist with Banquet Event Order (BEO) preparations
Ensure final details, guest counts, and room set-ups are indicated on BEO
Send out monthly reports for upcoming events
Updating BEOs for all departments distributed via email
Prepare for BEO meetings and last-minute changes
Prepare meeting room signs and welcome signs
Prepare and manage invoicing and payment processing
Ensure charges are transferred to Master Folio as required
Prepare final invoices and postings
Follow up on Accounts Receivable as required
Assist with room set-up checks and AV equipment.
Assist with introductions to the F&B team on event days
Perform all duties required of the Guest Services Agent role:
Provide courteous and professional guest services
Utilize instinctive selling techniques and company sales programs to maximize revenue and occupancy levels
Maintain order and cleanliness at the front desk
Handle guest accounts
Assist guests on arrival, departure, and during their stay
Operate the telephone console
Process reservation and cancellation requests
Other duties as assigned

Qualifications:

1–2 years of experience in hospitality, catering, or event coordination preferred
Strong organizational skills with exceptional attention to detail
Excellent communication and interpersonal abilities for client relations and team collaboration
Ability to multitask and manage competing priorities in a fast-paced environment
Passion for hospitality and a commitment to creating memorable guest experiences
Must be legally entitled to work in Canada
