Full job description

Office Administrator / Service Coordinator (Part-Time)

Location: Petrolia, ON
Pay: Up to $25/hour (based on experience)
Hours: Part-time (Monday to Friday, 20–30 hours/week to start)

All Systems Mechanical Corp. is a locally owned HVAC, refrigeration, and commercial kitchen equipment company serving residential and commercial customers throughout Lambton County and surrounding areas.

We're on the lookout for an organized, dependable, and friendly person to join our team. This is a great opportunity for someone who enjoys keeping things running smoothly, helping customers, and picking up new skills along the way. We’re happy to train the right person!

What you'll do

Answer phones and help customers with a friendly, professional approach.
Schedule service calls and keep our technicians organized and on track.
Manage work orders using Jobber.
Prepare invoices and handle paperwork with care.
Do light bookkeeping and data entry using QuickBooks.
Keep digital and paper files neat and organized.
Handle parts ordering, returns, and help keep inventory in check.
Follow up with customers on inquiries and outstanding invoices.
Support the owner with day-to-day office operations.

We're looking for someone who:

Is organized, detail-oriented, and likes keeping things in order.
Has great communication and customer service skills.
Is comfortable on the computer and excited to learn new software.
Can juggle multiple tasks in a busy, fast-moving environment.
Is dependable, positive, and eager to grow.
Enjoys being part of a small, supportive team.

Experience

Experience in an office, customer service, administration, bookkeeping, or scheduling is an asset, but not required. We’re more than happy to train the right person who’s ready to jump in and learn!
