Job Summary: The Inside Sales Coordinator reports directly to the Director of Sales and Marketing and plays a key role in supporting the sales process by coordinating inbound leads, preparing quotations, contracts, and sales packages, and maintaining accurate customer and opportunity information within the CRM system and customer records. This position is responsible for executing timely follow-ups, maintaining organized sales documentation, tracking pipeline activity, and helping ensure opportunities progress efficiently through the sales cycle.
In addition to sales coordination, the role provides administrative and marketing support through conference and travel coordination, customer communications, newsletters, website updates, memberships, sponsorships, award submissions, trade shows, and other industry engagement activities. The successful candidate will develop a strong understanding of the company's products, services, and processes related to mining, drilling, fabrication, and associated equipment while maintaining a high level of organization, responsiveness, and accuracy.

Reporting Relationship
This position reports directly to the Director of Sales and Marketing and is a full-time, on-site role. The successful candidate must be available to work in person at the designated office location in Parksville, BC, as this position is not eligible for remote work.
Responsibilities include but are not limited to:
- Prepare quotations, contracts, and complete sales packages accurately and in a timely manner.
- Maintain templates and ensure sales documentation is accurate, current, and consistent.
- Enter and update customer and opportunity information within the CRM system and customer folders.
- Handle incoming sales calls and assist with customer communication and inquiries.
- Support the sales team with conference scheduling, travel arrangements, and related administrative coordination.
- Track active sales opportunities and maintain accurate and current pipeline information.
- Execute follow-ups on customer inquiries, quotations, and pending opportunities.
- Report directly to the Director of Sales and Marketing and provide regular updates on sales activities, customer communications, opportunities, marketing initiatives, administrative priorities, project status, challenges, and assigned tasks to support departmental objectives and business growth.
- Support smooth handoff and communication between sales and operations teams.
- Assist with blogs, newsletters, website updates, and organization of marketing/media materials.
- Coordinate memberships, sponsorships, donations, awards submissions, and industry participation activities.
- Support internal and external marketing initiatives and timelines.
- Build and maintain working knowledge of the company’s products, services, and sales processes related to mining, drilling, fabrication, and associated equipment.
- Maintain organized records and documentation across all sales activities.
- Complete tasks accurately, professionally, and within established timelines with minimal supervision.
- Ensure CRM data and customer documentation remain complete and up to date.
Requirements:
- Diploma or certificate in Business Administration, Sales, Marketing, Communication, or a related field preferred.
- 1-3 years of experience in sales administration, customer service, coordination, or administrative support.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy in documentation and data entry.
- Proficiency with Microsoft Office applications and CRM systems.
- Ability to work independently and follow through on tasks with minimal oversight.
- Professional and customer-focused approach to communication and relationship management.
- Ability to maintain confidentiality and handle sensitive business information appropriately.
- Interest in or ability to develop knowledge related to mining, drilling, fabrication, and industrial equipment.
- Ability to meet established response times, follow-up timelines, and documentation standards.
