Commercial Leasing Administrator
Prime Properties is seeking an experienced Commercial Leasing Administrator to join our team in downtown Montreal.
Prime Properties is a high-end boutique real estate owner and operator specializing in strategically located commercial and office properties across Canada and the United States. Key Responsibilities
The Commercial Leasing Administrator will provide administrative support to the Leasing, Legal, and Property Management departments, including:
- Assist with the preparation, coordination, and administration of commercial lease transactions.
- Support the Legal, Leasing, and Property Management teams on day-to-day leasing matters.
- Prepare standard correspondence, including receivable and collection letters.
- Prepare and maintain Tenant Information Sheets (lease summaries) for all new leases, renewals, amendments, and assignments.
- Create, update, and maintain professional marketing flyers, brochures, property photography, social media content and leasing materials for available properties.
- Conduct periodic inspections of vacant premises and common areas to ensure spaces are presented at the highest standard.
- Show available premises to prospective tenants and brokers when required.
- Coordinate leasing follow-up items, including security deposits, automatic rent withdrawals, tenant onboarding, and hand-off to construction and project management teams.
- Maintain and update records relating to movable hypothec registrations.
- Track critical lease dates, renewal options, possession dates, fixturing periods, and transaction closing deadlines.
- Maintain accurate leasing databases and electronic filing systems.
- Provide general administrative support and perform other duties as assigned by management.
Qualifications
- Minimum of 2 years of experience in a commercial real estate leasing or property management environment.
- Solid understanding of commercial lease structures, real estate terminology, and legal documentation.
- Excellent written and verbal communication skills in both English and French.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple projects and meet deadlines in a fast-paced environment.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience working with CRM or property management software is considered an asset.
- Professional, resourceful, and service-oriented with strong interpersonal skills.
- Ability to work independently while contributing effectively within a collaborative team.
- Availability to work five (5) days per week in our beautiful Montreal office located at 1201 Sherbrooke W., Montreal.
