Full job description

CP Water Hauling is a private, family-owned Canadian oilfield service company dedicated to providing reliable water and vacuum truck services. Since its inception in 2004, the company has grown to serve the region with a strong focus on safety, service excellence, and team collaboration.

We are seeking an organized, self-motivated Regional Administrator to work out of our Sylvan Lake office. In this role, you will be responsible for overseeing all administrative, accounts payable, and health & safety compliance tasks for our Edson branch. You will act as the vital link between Sylvan Lake corporate standards and Edson field operations.

Key Responsibilities:

1. Remote Branch Management & Administration

Oversee and streamline day-to-day administrative workflows for the Edson operations from the Sylvan Lake office.
Act as the primary administrative point of contact for Edson field staff, managing digital files, shipping logistics, and records.
Maintain organized digital and physical filing systems for tracking regional branch operations.

2. Accounts Payable & Financial Support

Process vendor invoices, verify receipts, match purchase orders, and perform precise data entry.
Reconcile regional vendor statements and resolve billing discrepancies over the phone or email.
Collaborate with the Sylvan Lake finance team to manage regional expense tracking and month-end reporting.

3. HSE Compliance & Safety Tracking

Coordinate and facilitate safety orientations for new Edson employees and third-party contractors.
Monitor, track, and audit training tickets, safety certifications, and competency logs for Edson field personnel.
Monitor driver logs in Motive, and coach employees, ensuring Federal Hours of Service compliance.
Organize safety meetings, track toolbox talk submissions, and document regional safety minutes.
Review workplace inspection reports sent from the Edson site; log and track corrective actions to compliance.
Maintain and audit equipment compliance records, vehicle logs, and incident reports.

Qualifications & Skills:

3+ years of experience in office administration, bookkeeping (AP), and safety program tracking.
Strong familiarity with Alberta Occupational Health and Safety (OHS) legislation.
Prior experience in Alberta's oil & gas, construction, transport, or industrial sectors is highly preferred.
Proficiency with accounting programs and safety compliance software (e.g., ComplyWorks.
Excellent communication skills to manage and build trust with a field team working in a different location.

Experience

Proven experience in the oilfield sector with a focus on health, safety, and environmental management.
Strong background in coordinating training.
Familiarity with industry safety standards and regulatory requirements related to oilfield services or similar sectors.
Excellent organizational skills with the ability to manage multiple priorities effectively.
Effective communication skills to engage team members at all levels and promote safety awareness.
