Position Summary
The Access and Privacy Analyst provides key operational support and backup to the Access and Privacy Officer and the Manager of Information Management. This role is responsible for supporting the processing of access-to-information requests, creating and reviewing Privacy Impact Assessments (PIAs) as well as facilitating privacy training across the Division.
The Analyst serves as a primary resource for routine access and privacy inquiries from staff, parents, and the public, assists with the maintenance of the Division’s Privacy Management Program (PMP), and manages online privacy resources and intranet documentation. Additionally, this role provides technical support such as redacting video surveillance footage and supporting broader Records Management Team initiatives.
Job Duties/Responsibilities

assisting in processing access requests accurately and within legislated timeframes using ATIPXpress software

leading access request processing during the Access and Privacy Officer's absence

facilitating open, accurate, and complete communications with applicants, third parties, and external bodies

assisting with research regarding Office of the Information Privacy Commissioner (OIPC) orders and investigations
-
supporting the drafting of written submissions and reports to internal and external stakeholders
-
assisting with Division privacy breach responses and investigations, including reporting to the OIPC and the Minister of Technology and Innovation

designing, creating, and delivering access and privacy training programs for Principals, School Resource Officers (SROs), School and Central Leadership staff, and partner organizations

developing training materials, in-services, and online learning modules to build privacy awareness Division-wide
-
assisting in operationalizing and maintaining the Division’s Privacy Management Program (PMP)

providing guidance and respond to daily inquiries from internal and external stakeholders like; staff, parents, and the public regarding the collection, use, and disclosure of personal information based on established standards

assisting in drafting privacy updates, newsletters, and guidance materials for Division leadership

reviewing and provide recommendations for technology projects and initiatives as it relates to Privacy Impact Assessments (PIAs) including the
- process to review for AI implications as required under access and privacy legislation

updating evaluation processes to assess privacy and mandatory notification requirements regarding Artificial Intelligence (AI) implications under current access and privacy legislation

performing specialized technical tasks, including redacting video surveillance footage when requested for access releases or privacy compliance

monitoring emerging technology trends and AI developments that impact privacy within the Division

maintaining active communication with Technology and Information Management teams and liaise with the OIPC as required

managing the Information Management website, iQA documentation, and Third-Party App privacy sites
supporting the Records Management Team with general record-keeping initiatives as needed

Education/Qualifications
-
diploma in a related field
-
Information Access and Protection of Privacy (IAPP) certification is required

minimum three years related experience
-
strong knowledge of information governance, records management principles and privacy risk management
-
extensive, in-depth understanding of Alberta access and privacy legislation, OIPC orders, legal precedents, and AI notification requirements

experienced presentation and writing skills to facilitate training of all staff
-
exceptional interpersonal skills with a proven track record of building trusted relationships in collaboration with senior leadership, school administrators, regulatory officials, parents, and external agencies
-
strong organizational skills, attention to detail and the ability to manage competing priorities and deadlines
Rate of Pay
$38.81 - $49.36 per hour
