Enzo Design Build is a growing design-build firm in West Vancouver specializing in high-end residential renovations. We run a modern, tech-forward operation - our project management, estimating, and client communication all run on digital tools, and AI is part of how we work every day. We're scaling up, and the CEO needs a right hand.
The Role
You will be the operational backbone of the company - running the office, keeping the books tidy, building our internal systems, and freeing the CEO to focus on growth. You'll work directly with the CEO daily.
What you'll own:
- Executive support: manage the CEO's inbox, calendar, correspondence, and follow-ups; draft professional emails to clients, trades, and suppliers
- Office management: supplies, vendors, filing, permit paperwork, insurance renewals, and general administration
- Bookkeeping support: invoicing, receipt tracking, expense categorization, and AP/AR follow-up in QuickBooks Online (our accountant handles year-end; you keep the day-to-day clean)
- Hiring support: post jobs, screen candidates, coordinate interviews, and manage our hiring tracker
- Systems and SOPs: document our processes into clear Standard Operating Procedures and continuously improve them
- AI-powered workflows: use AI tools (Claude, ChatGPT) daily to draft documents, build SOPs, summarize meetings, and automate repetitive work
Who We're Looking For:
- 3+ years in an administrative, EA, office management, or bookkeeping role
- Demonstrated, hands-on experience using AI tools (Claude and/or ChatGPT) professionally - you should be able to show us how you use them
- Strong written English - you'll be writing on behalf of the CEO
- Highly organized, detail-obsessed, and able to run independently with minimal supervision
- Comfortable with QuickBooks Online, Google Workspace, and spreadsheets
- Experience in a construction, renovation, trades, or design firm is a strong asset (we use JobTread)

Pay: $65,000.00-$75,000.00 per year
