Guest Services Representative / Receptionist (4-Month Term)

Position Type: Full-Time, 4-Month Term Contract

Position Summary

The Guest Services Representative is responsible for creating a positive first impression for customers visiting or contacting the dealership. This role provides reception, customer service, administrative, and sales support to ensure a smooth and professional customer experience. The successful candidate will be friendly, organized, detail-oriented, and able to thrive in a fast-paced environment.

Key Responsibilities

Reception & Customer Service

Welcome customers and visitors in a professional and friendly manner.
Answer, screen, and direct incoming telephone calls.
Assist customers with general inquiries and direct them to the appropriate department.
Ensure the reception and showroom areas remain clean, organized, and inviting.

Sales Support

Assist the sales team with administrative tasks.
Enter and maintain accurate vehicle information in dealership systems.
Help prepare vehicle files by setting up inventory.
Support lead management by routing customer inquiries to sales representatives.
Assist with dealership promotions, events, and customer outreach initiatives.

Administrative Duties

Perform data entry, filing, scanning, and document management.
Process incoming and outgoing mail and deliveries.
Maintain office and hospitality supplies.
Assist with various administrative projects as required.

Qualifications

High school diploma or equivalent.
Previous customer service, reception, administrative, or retail experience preferred.
Strong communication and interpersonal skills.
Excellent organizational and multitasking abilities.
Proficiency with Microsoft Office and general computer applications.
Professional, positive, and customer-focused attitude.

Term Details

This is a full-time, temporary 4-month term position designed to provide support during a busy sales season and/or employee leave period. Reports To: General Manager

Duration: 4 Months (with possibility of extension based on business needs).

Pay: $18.00-$19.00 per hour

Work Location: In person
